Position purpose:

Reporting to the Senior Director, Integrated Facilities Management, the incumbent coordinates and receives service requests, by telephone, Internet or in person, from the University community and the general public. Immediately assigns a priority to requests and directs them to the responsible sectors based on the priority level. The main objective of the position is to accurately identify the nature of the service request, inform clients, if needed, and coordinate respective staff in providing service.

In this role, your responsibilities will include:

  • Represent the Facilities Department to clients, act as a gateway to the university community and the general public.
  • Enter requests received into the computer system. Question and guide clients in order to properly formulate the reason for their request, the location assigned, assign a priority and route the request to the appropriate area.
  • Review, approve and route requests that are entered into the system by clients with access to the work order management system, identifying priorities and needs.
  • Perform general office work such as filing, mail distribution, work order distribution, photocopying, faxing, etc.
What you will bring:
  • Knowledge of the regulations governing the responsibilities of the position, usually acquired through postsecondary education or equivalent experience
  • Knowledge of the campus would be an asset
  • Demonstrated experience in effective communication in a customer service position
  • Experience managing priorities to meet strict deadlines
  • Experience in problem-solving and conflict resolution
  • Experience preparing statistical reports and other bilingual administrative documents
  • Experience using computer systems and software, such as Windows, databases, word processors, data entry software to create work orders (MAXIMO), email and Internet
  • Demonstrated ability to be flexible and autonomous
  • Demonstrated ability to handle tasks effectively and with accuracy despite frequent interruptions
  • Ability to work quickly under pressure
  • Bilingualism - French and English (spoken and written)
