Reporting To: Director, Experiential Learning
Campus Location: OshawaDUTIES AND RESPONSIBILITIES:Reporting to the Director, Experiential Learning, the incumbent is responsible for identifying business needs and converting them into a business process, software/platform solution and creating reports and analyzing data. As an advocate for experiential learning (EL) and work-integrated learning (WIL), the incumbent will play a pivotal role in the ongoing assessment of business needs, leading all upgrades, new releases, as well as the development of new functionality and new projects related to improved efficiency of EL and WIL systems for the College.Business Analysis and Administration of EL and WIL Systems:

  • Engages the EL/WIL campus community to gain an understanding of their operations, systems and business functions to facilitate process enhancements to maximize the College\xe2\x80\x99s EL and WIL activities
  • Develops new workflow options for campus partners and evaluates each option for benefits and potential obstacles
  • Oversee the implementation, proper functioning and efficient use of all EL and WIL applications including but not limited to: Orbis (co-operative education and field placement modules) online platform, Salesforce (CRM platform), Banner (Student Information System), co-op workflow and student transfer processes), and the learning management system (LMS) for co-op transfer and work term management
  • Provide business analysis support for EL and WIL, helping to identify technical solutions to more effectively serve end-users, for processes including but not limited to employer/host agreements, health and safety database and employer outreach.
  • Identify business risks and opportunities for the College including internal control risks and opportunities.
  • Develop and maintain relevant benchmarks to assist in monitoring effectiveness and efficiency of current processes; provide solutions to enhance the business processes and improve or maintain desirable scores.
  • Coordinate vendors and the planning, development and installation of additional functions and enhancements to EL and WIL systems, which involves documentation, implementation of enhancements and upgrades.
  • Complete testing of functions, various forms as well as developing procedures required to ensure that proper internal controls are maintained and enhance the efficiency and effectiveness of the users involved.
  • Provide technical guidance and functional direction to all levels of users on all aspects of the relevant student systems, which involves guidance to system access, use of system features, comprehension of online information available as well as understanding the details contained within reports.
  • Create online forms, workflows and processes for internal and external partners.
  • Provide support for migrations, updates, fixes and issues, as needed.
Quality Assurance and User Experience:
  • Improve internal processes related to the administration of applications supported including quality assurance guidelines.
  • Design and deliver a user experience for all new and existing users at all levels that serves to advance both operational and strategic objectives of the department tied to student engagement and success
  • Provides individual and group training sessions to test software and workflow solutions and gather feedback as part of the implementation and upgrade process
  • Develops user documentation and procedures, including written resources, instructional videos, and training tools
  • Assists in the creation of communication plans to end users and the broad campus community about EL and WIL platforms
  • Maintain service standards in support of users to ensure prompt and accurate response to inquiries and problems arising, promote strong user adoption, and sustain critical relationships with internal and external partners;
  • Maintain good working relationships with the Office of the Registrar and IT Services to understand the impact of changes in procedures or requirements in order to define, develop process and system changes as required.
Data/Reporting Support
  • Assessment, reporting and analysis of co-op and WIL programs
  • Provide detail for the purposes of managing service delivery decisions and broader institutional decisions around supporting co-op enrolment
  • Prepare and distribute of other reports as required ensuring compliance with all pertinent legislative and Ministry requirements.
QUALIFICATIONS: * A minimum of a 4-year diploma or degree in Business Administration, Information Technology, Education or another closely related field
  • A minimum of 5 years of work experience in IT or Educational Technology including supporting, developing or managing a large website, interactive portal platforms, system user support & troubleshooting, Learning Management Systems or online CRM tools ie. Salesforce
  • A minimum of 5 years of work experience administering web platforms ie. Orbis, using content management utilities and Student Information System ie. Banner
  • Exceptional teamwork, leadership, client service orientation and communication, including presentation skills
  • Proven ability to deliver excellent service to internal and external clients, managing expectations and providing alternative solutions when needed
  • Demonstrated project leadership skills
  • Proven record of networking across large organizations to build trust and strong working relationships
  • Superior skill and knowledge of Microsoft Excel
  • Training in business analysis, project management and/or data analysis is an asset
  • Prior experience with EL/WIL related projects and subject-matter knowledge is an asset
