To achieve this, we are looking for a dedicated Administrative Assistant who will be responsible for welcoming new immigrant clients and assisting them with their initial needs and personal affairs. The ideal candidate should possess excellent organizational and communication skills, a friendly and welcoming demeanor, and a strong understanding of the challenges faced by new immigrants.
Key Responsibilities:
Assist managers with planning and scheduling business trips, including preparing itineraries, booking accommodations, and organizing supporting documents.
Participate in off-site meetings with partners, clients, and stakeholders; provide on-the-spot administrative and communication support.
Take accurate meeting notes and prepare clear, concise summaries and follow-up reports for internal and external use.
Assist in developing proposals, presentations, and client-facing materials tailored to immigration and settlement services.
Help coordinate internal team tasks and timelines to ensure smooth execution of ongoing projects.
Conduct basic market or client research to support strategic planning and business outreach.
Translate and format internal or external documents when required (English-Mandarin preferred).
Maintain organized project records and ensure files are properly archived for compliance and future reference.
Provide general administrative support, including scheduling, email correspondence, and document editing.
Requirements:
Currently enrolled in a post-secondary program in Business, Administration, Immigration Law, International Studies, Communications, or a related field.
Willingness and ability to travel within Newfoundland and Labrador for business purposes.
Strong written and verbal communication skills in English (Mandarin is a plus).
Excellent attention to detail and organizational skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Positive attitude, team player, and able to manage multiple tasks efficiently.
