SCOPE
Reporting to the Director, Financial Aid & Awards, with a dotted line to the Associate Registrar, Systems, Processes and Analytics, the incumbent is responsible for ensuring that the Financial Aid & Award solution and work-study solution align with business objectives within the Financial Aid and Awards Office (FAAO) and meets the needs of the office. This role involves actively contributing to adapting the solutions, testing, documenting practices and facilitating ongoing support throughout the applications lifecycle.
PRIMARY RESPONSIBILITIES
o Engage with partners at various organizational levels (IITS, School of Graduate Studies, Office of the Registrar) to ensure project alignment and facilitate clear and effective communication regarding project scope and objectives. Actively contribute to the solution strategy discussions and test the Financial Aid & Award solutions to ensure it meets business requirements and standards.
o Manage the operational configuration of the Financial Aid and Award solution operational on a day-to-day basis, including the processing of interfaces, file/data loads and interactions with satellite systems.
o Manage the undergraduate Work Study application configuration on a daily basis, including the processing of interfaces, file/data loads, and management of application configuration. This includes application improvements to serve all Work study programs and related initiatives managed by the application.
o Configure and maintain system according to business needs, as well as maintaining configured data for accuracy and reliability. Responsible for eliciting and documenting system requirements in collaboration with subject matter experts and partners, provide detailed functional specifications for implementing processes linked to management of bursaries and awards.
o Oversee the deployment of new features, conduct user acceptance testing (UAT) to ensure new features meet user needs before deployment, while upholding data governance policies for undergraduate awards and bursaries.
o Liaise with subject matter experts and sponsors to resolve complex issues and provide expert knowledge on business processes and system interactions. Identify impacts to documentation and training related to system deployment, perform knowledge transfer, and provide functional support to partners. Develop training materials and documentation for all processes.
o Document the scope and business needs as provided by subject matter experts, requirements, processes, value, roles, and benefits for project deliverables.
o Collaborate with subject matter experts to ensure the configuration and deployment of the Financial Aid & Award solution is in alignment with business objectives and user requirements.
o Offer functional support, optimize, and enhance the solutions to ensure they continue to meet evolving business needs.
o Maintain content and optimize processes of the Financial Aid & Award solutions. Provide functional support to platform users involved in undergraduate awards, bursaries, and financial aid.
o Provide training to the Financial Aid and Award solution users involved in awards, bursaries and financial aid.
o Implement workflow for processes related to the solutions in place in the undergraduate financial aid and awards office.
o Design, configure and deploy reporting and KPI solutions in support of the unit.
o Perform other duties in support of the operation of the unit.
QUALIFICATIONS
o Bachelor's degree in Business Administration or Management Information Systems or Computer Science, or in a pertinent field and two to four years of related work experience.
o Advanced knowledge of and experience with system analysis, design methodologies and tools.
o Strong research, analytical and requirements documentation skills with ability to efficiently and effectively synthesize information.
o Advanced knowledge of Microsoft Excel for data analysis and good knowledge (Intermediate level) of Word for documentation creation and maintenance.
o Very good knowledge (Level 5) of spoken and written English and good knowledge (Level 4) of spoken and written French to communicate effectively, produce documentation and reports.
o Experience with Microsoft Power Automate for optimizing process workflows and Microsoft Power BI for ensuring effective reporting, along with proficiency in the O365 suite.
o Excellent communication and presentation skills, with the ability to communicate complex information clearly and concisely.
o Excellent interpersonal skills and proven ability to work in a team environment using a collaborative approach.
o Ability to work under pressure, prioritize work, and meet deadlines.
o Aptitude to work in a service-oriented environment and dedicated to meeting the expectations and requirements of partners.
o Critical thinker with the ability to use logic and reasoning to identify the strengths and weakness of alternative solutions, conclusions, or approaches to problems.
o Knowledge of financial concepts is an asset.
o Knowledge of PeopleSoft Campus Solutions is an asset.
o Project management skills are an asset.
