Job Description

Gemstone Care Centre is a safe and beautiful long term care home for 130 residents that opened in June 2013. It is located on 4 acres of lawns and gardens and overlooks the Thompson River in Kamloops. Gemstone is affiliated with Trellis Seniors Services and the Trellis family of homes located in Richmond and North Vancouver. Reporting to the General Manager, the Business Administrator is a combined position that handles all business Services at the care home while providing administrative/scheduling/payroll support to the leadership team.

This position is Full-Time (40 hours per week).



Specific Responsibilities:



Business Services / Accounting/Scheduling

Supports new Resident orientation and handles the administration of resident move in (admissions), discharges, Resident Trust accounts and user fee management. Ensures financial information for admission is accurately collected and recorded. Maintains daily occupancy/census records to prepare billings for payment from government ministries and other agencies. Handles minor accounting duties as assigned Prepares data for internal and government audits as required. Participates in the reporting to the annual budgets as needed. Supports holiday coverage of scheduling and payroll responsibilities

General Administration



Manages reception including greeting and directing families and visitors as required and answering and redirecting general phone calls as required. Coordinates care supplies orders and confirmation of receipt. Distributes mail and general email on a daily basis. Ensures office equipment is kept clean and tidy and maintained in good working order. Purchases necessary office supplies and ensures that costs are within budget. Attends, actively participates in, and records minutes as needed during various management meetings, including regular Leadership Team meetings.

As the ideal candidate:



You have successfully completed a post-secondary degree or diploma in accounting or business administration. You have at least two years of experience in reception or a customer service setting. Experienced in a healthcare setting is an asset. You have strong interpersonal skills and you can effectively interact with residents, families, staff, visitors and volunteers with tact, respect, courtesy and patience. You have proven time management skills to meet multiple deadlines, working accurately and efficiently, even in an environment of regular daily interruptions. You have an advanced working knowledge of Microsoft Word and Excel as well as scheduling experience. You can communicate effectively in the English language (both orally and written). You are in good health, free from communicable diseases, physically and mentally able to perform the duties of the position.
