We are seeking a highly organized, detail-oriented
Business Administrator
to support the operational and administrative side of a growing financial advisory practice. This is an ideal position for someone early in their career who wants to develop professionally, take on meaningful responsibility, and help shape the future of a high-performing wealth-management business.
The successful candidate will work directly with the lead advisor in a professional, supportive environment with excellent systems, clear expectations, and a culture focused on client service and continuous improvement.
This role begins as an administrative/operations position but is designed with
significant growth potential
. A high-performing team member will have opportunities to expand responsibilities, take ownership of increasingly complex tasks, and may move into a
licensed advisory role
in the future, if desired.
Duties
Administrative & Operational Support
Maintain organized digital and physical files, documentation, and client records.
Support day-to-day office operations, scheduling, and workflow coordination.
Prepare client meeting materials, forms, follow-ups, and summaries.
Maintain CRM records (Wealthbox/Close CRM) and ensure data accuracy.
Assist with onboarding new clients, gathering documentation, and coordinating forms and submissions.
Client Experience & Communication
Provide professional, timely communication with clients and back-office team.
Support the delivery of a high-quality client experience through proactive follow-ups and process management.
Manage email correspondence, scheduling, and coordination between the advisor and clients.
Technology, Reporting & Process Improvement
Assist in building and maintaining streamlined business systems and processes.
Help implement new workflows, automations, and reporting tools.
Work with spreadsheets, templates, and basic reporting dashboards to support business insights.
Contribute ideas and participate actively in shaping the practice's long-term operational strategy.

If you do not have financial industry experience, that's okay -- we value mindset and capability far more than industry knowledge. Training will be provided.
Job Type: Full-time
Pay: $17.20-$32.06 per hour
Expected hours: 40 per week
