Situated on the traditional, unceded territory of the Secwe?pemc people, the centre of our District is the city of Kamloops, which has a population of more than 97,000 people. The District extends to Pinantan Lake, Heffley Creek, Sun Peaks, Barriere, Clearwater, Vavenby and Blue River to the north, Logan Lake to the south, Savona to the west and Chase and Westwold to the east.

Located in the stunning surroundings of BC\xe2\x80\x99s interior, the Kamloops-Thompson School District is a diverse and growing environment committed to great local education through our 5-Year Strategic Plan, Aboriginal Enhancement Agreement, Capital Plan, and Long-Range Facilities Report. The District has a Local Education Agreement with each of the local First Nations.
THE OPPORTUNITY
Your role is to support the Board of Education and to report to the Superintendent/Chief Executive Officer or designate. Relying upon your background in supporting CEOs, senior executives, and boards of education and/or boards in other sectors, you are excited to offer your skills to be highly organized, attentive to detail, accurate, timely, and professional in all that you do. You look forward to planning, preparing, and communicating with senior administrative staff and board members to prepare for and engage in board meetings, board committee meetings, and board events.
You will collaborate with District senior leadership, the Board of Trustees, school principals, employee groups, local, provincial, and federal politicians, elders, First Nations Chiefs and Councils, Aboriginal Education Council, dignitaries, District Parent Advisory Council executive, Parents\xe2\x80\x99 Advisory Council executives, community partners, and outside agencies to meet the Board\xe2\x80\x99s needs and to satisfy Board policy requirements.

Serving approximately 16,000 students, 3000 students of Aboriginal ancestry, in 49 schools our District offers a variety of enhancement programs, including: French immersion, International Baccalaureate, sports academies, trades programs, a K-12 fine arts school, Montessori, and an elementary science and technology school. School District No. 73 is located on the territory of the Secwepemc Nation and serves 7 local bands and the M\xc3\xa9tis Nation in a large geographical area.
Our District is the 13th largest district provincially, and it covers more than 27,000 square kilometres and busses about 4,000 students more than 9,000 kilometres every day. We have 35 elementary schools, one middle school, 10 secondary schools, one Kindergarten-to-Grade 12 school, one alternate education program and one distance education school. We employ nearly 3,000 people and have an annual budget of approximately $200 million.
The Board of Education
The key focus for the Kamloops-Thompson Board of Education is improving student achievement. The Board plays an essential role in the public education system by addressing the interests of students through local decision-making with an engaged community.
As locally elected representatives, the nine Board of Education trustees represent the Kamloops-Thompson communities\xe2\x80\x99 particular strengths, challenges and demands. They engage with communities in building and maintaining their local school system to reflect local priorities, values and expectations.
The Board shares a co-governance relationship with the provincial government through the Ministry of Education. The BC School Trustees Association supports the board in this relationship.
POSITION RESPONSIBILITIES
Board and District Calendar Coordination:
Manages Board of Education calendars including board meetings, committee meetings, district commitments (i.e., special ceremonies such as graduations), political meetings and media events (planning ahead, booking events to coordinate media and trustee calendars).
Ensures that trustees are represented at the committees of the board and sends reminders and organizes alternative dates, when necessary.
Board Meetings and Committee Meetings:
Prepares for board meeting agenda-setting, board packages for review process to meet publication deadlines as per Board Policy, and takes minutes at board meetings and committee meetings.
Arranges all logistical details for board meetings and events such as scheduling, invitations, locations, lodgings, speakers, food, and travel.
Board Records and Correspondence:
Maintains important board records and documents, such as financial records requiring signatures and approvals, contracts, letters, and according to provincial and federal legislation and Board Policy.
Board Communications and Community Engagement:
Ensures board requirements are met for media events including support of the planning, composing, and revising of agendas, key messages, and speeches, and communicates in a timely way with the Board members.
Provides support for board events (ordering food, bringing supplies).
Board Policy and Governance:
Collaborates with the Secretary-Treasurer to manage compliance reporting and governance requirements for the district with respect to board members.
Collaborates with the Superintendent to review the Board policies and works with the Superintendent and Secretary Treasurer to ensure accurate and updated posting of Board policies.
Board and Superintendent Relations:
Establishes and maintains positive, professional working relations with the Superintendent, Secretary-Treasurer, District senior leadership, and Board of Trustees.
Performs tasks as may be assigned by the Superintendent or designate.
THE RIGHT CANDIDATE
You are an experienced executive assistant and board secretary who is accustomed to maintaining exemplary professional standards and decorum in a boardroom and executive office.
You demonstrate:
Exceptional organizational and time management skills.
Positive, collaborative relationships.
Practical common sense and solution-focused problem-solving.
Proven success in meeting the needs of a board of education or a board in a different sector through a chief executive officer.
Excellent Word processing skills and ability to learn and work in databases to create and post board packages.
Proven success in Microsoft Office applications.
Innovative approaches to solving office collaboration needs (i.e., storing documents where multiple departments have access).
Qualifications:
Experience supporting Boards of Education or Boards in a different sector and/or senior executive staff in professional settings.
Certification and/or experience working in Microsoft Office applications, document databases, and website applications.
Qualifications in governance or parliamentary procedure is an asset.
Type 40-70 words/minute (min) with few errors.
Experience taking minutes that require accuracy and synthesis to serve Board and public communication needs.
The ability to travel to various sites within the District.
SALARY RANGE: $68,905 - $86,132
