POSITION OVERVIEW
JLL is currently seeking a dynamic individual for the role of Brokerage Coordinator to provide reliable, timely, efficient support to our Retail Team. The position will be based out of our Vancouver office and entails working with a diverse group of internal and external stakeholders at all levels of the organization. The individual will require the independent judgment to plan, prioritize, organize, and execute a diverse workload in a fast-paced environment. This role provides a wide variety of support services to the brokerage team and the successful candidate will be detail oriented with strong organizational skills and a team player attitude.
RESPONSIBILITIES
Partner with Broker Lead to translate leadership business objectives into strategies, then execute those strategies
Assist in the deal cycle process as required: prepare and/or edit offers and letters of intent; track offers in progress and follow through on execution; coordinate flow of documentation and information between company and clients
Support all property marketing activities (e.g. utilizing InDesign templates for brochures, signage, post cards, CIMs etc.; utilize Eloqua to deploy property marketing email campaigns; use social media channels like LinkedIn and update listings on property marketing website(s); coordinate with photographers, virtual tour providers, and other third-party vendors as needed; etc.)
Perform SAR & Dealio-related tasks (e.g. prepare report updates; database entry/maintenance; create, prepare, review, and/or maintain cheque registers; ensure accurate and timely invoicing; follow up with stakeholders as required; etc.)
Prepare and remit applicable brokerage authority reports updates (e.g. mandate register; transaction register; etc.)
Use JLL Market Surveys, JLL Journeys, and other proprietary or third-party software to create, review, and/or prepare market surveys, tour books, and presentations
Liaise with research team to create demographic materials
Prepare, review, and/or edit applicable documents (e.g. legal paperwork; mandates; commission agreements; offers; request for proposal; presentations; pitches; etc.)
Prepare and remit expenses in an accurate and timely manner (e.g. monthly Profit & Loss Reports; Broker Expenses; Training Expenses; etc.)
Plan, coordinate, and/or facilitate client & broker events, as required and in collaboration with administrative team
Actively participate in team workflow management to ensure collaboration and connectivity within the business line and with other business lines regionally and nationally
Lead the coordination of property marketing signage needs for the team (e.g. creative; production; vendor management; tracking; etc.)
Proofread applicable documents as required (e.g. quarterly reports; white papers; RFPs; etc.)
Keep up to date on training for and champion the use of JLL technologies
Maintain required competencies around all required software including, but not limited to: Adobe Creative Suite (includes InDesign, Photoshop, Illustrator, and Acrobat Pro), Microsoft Office Suite, Dealio, CoStar, Blackbird, Google Earth, Exact Target, CRM, Spider, Eloqua, and others as required
Coordinate accounts payable with Finance Team
Oversee and/or provide administrative services to support the sales cycle, as required (e.g. miscellaneous project management; team task coordination; etc.)
Partner with Senior Manager, Manager, Design Team, Brokerage Coordinators, Marketing Coordinators, and peers across the country to execute best-in-class property marketing plans
Attend and participate in all Marketing and Brokerage Support meetings led by National Marketing and/or your Senior Manager
Any other reasonable duties and responsibilities assigned
QUALIFICATIONS
Bachelors Degree preferred, but not required
3+ years of relevant office experience or a combination of education and experience
Experience in the real estate sector and/or lease administration preferred
Advanced Microsoft Office (Word, Excel, PowerPoint & Outlook) is required
Experience with Adobe Creative Suite (InDesign, Illustrator, Photoshop) is preferred
Experience with email campaign execution considered an asset
Project management experience is considered an asset
Demonstrated capacity to manage multiple priorities in a fast-paced environment
Must be flexible, highly motivated, and proactive with a willingness to take initiative
Must maintain strong attention to detail at every level
Strong interpersonal skills and ability to work collaboratively with teammates and clients
Excellent writing ability including strong proofreading and editing capabilities
Optimistic and outgoing personality, excellent follow-through, must be a task master
Must be able to maintain confidentiality, utilize judgment, and work with minimal supervision
