The Army Cadet League of Canada is a volunteer-run, registered charitable organization, officially formed in 1971 as the civilian partner to the Department of National defense (DND) in support of Army Cadets, a unique program open to all Canadian youth from the ages 12 to 19, focused on the development of skills that help youth transition into adulthood, including citizenship, leadership, responsibility and accountability, and physical fitness, with no financial cost to join.

Job Overview


The Alberta Army Cadet League is seeking a highly organized and professional individual to join our team. The ideal candidate will provide essential administrative support, manage communication channels, assist planning of League events, and ensure smooth operations of the Board. This role requires excellent organizational skills, proficiency in office software, and a friendly demeanor to assist volunteers effectively.

As the Provincial Branch Secretary, you will be responsible for the management and leadership of the Branch's operational and administrative functions, working under the guidance, direction and supervision of its Board of Directors. The Secretary will also be responsible for building relationships with various institutions, such as the National Office of the Army Cadet League of Canada, branches of the Air and Sea Cadet Leagues, other Branches of the Army Cadet League, our partners with the Regional Cadet Support Unit (NW), and all Army Cadet League members throughout the province.

Duties



Manage provincial communications, incoming and outgoing, and direct inquiries appropriately Complete all meeting agendas and minutes in a timely fashion Maintain and organize filing systems both digitally and physically Connect with carious media sources as required Assist with appointment scheduling, calendar management, and reminder calls Assist with Strategic and Organizational Planning of the Board Proofread correspondence, reports, and documents for accuracy and clarity Support the Board and its committees and maintain strong lines of communication with all parties Assist in planning and executing large functions, including but not limited to banquets, training sessions, competitions, AGMs, etc. Support administrative projects as needed to improve office efficiency

Requirements



Proven experience in office administration or clerical roles, preferably in a not-for-profit or charitable organization. Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Teams, SharePoint) Excellent organizational skills with the ability to prioritize tasks effectively Ability to work within a team dynamic Excellent communication skills Strong customer service skills with professional phone and email etiquette Ability to proofread documents accurately and maintain attention to detail Demonstrated ability to handle confidential information discreetly Energetic, dynamic and ability to complete tasks without supervision Applicants must be based in the Province of Alberta for this role.
The overall goal of this position is to transform this role from a PT Secretary role, to a FT Executive Director role., expanding the duties and training as manageable both by the Board and the successful candidate.

This position allows the successful candidate to work from home, with some minor travelling requested 3-4 times a year for Board functions.

The successful candidate will be required to complete the Army Cadet League screening process, including a VSS from the local police detachment, and be cleared prior to employment commencement. The successful candidate will also be required to become, if not already, a full member of the Army Cadet League of Canada as per our provincial and national by-laws.
