We are seeking an experienced Office Manager to oversee our administrative operations. The ideal candidate will be proficient in accounting software such as Sage and possess strong financial acumen.
Duties
Payroll, AR/AP:
Manage and maintain all aspects of payroll from scheduling to verification.
Responsible for reviewing and ensuring timesheets are accurate and ensure any discrepancies are corrected.
Responsible for reviewing all payroll entries prior to payroll processing.
Work closely with Owner to ensure accurate and timely payroll processes.
Prepare and disburse invoices to customers.
Resolve issues with delinquent accounts through contacting and working with the customer.
Reconcile transactions with statements.
Maintain accurate financial record of all receivable transactions, verifications, etc.
Secure financial data via data backups and security monitoring.
Offer creative budget, cash flow and other financial solutions as needed.
Collaborate with the Owner to maintain company financial health.
Bookkeeping:
Record day-to-day financial transactions and complete the posting process.
Reconcile bank statements and ensure financial data accuracy.
Assist in the preparation of financial statements and reports.
Manage and maintain financial records, both physical and digital.
Human Resources/Admin:
Serve as a link between management and employees by fielding questions, interpreting and helping to resolve work-related issues in a professional and timely manner.
Ensure compliance with company policy, fair employment practices and government regulations.
Manage employee documentation and adhere to company confidentiality policies.
Advise and train staff on organizational policy matters such as Violance & Harassment and other related company and legislative policies.
Administer New Hire Orientations, Disciplinary/Counseling Actions, and Terminations.
Respond quickly and urgently to staff vacancies and recruit, interview and select appropriate applicants.
Plan, Organize, Direct, Control and Coordinate the personnel, training, and labor relations activities.
Ensure all legal postings are accessible and posted according to legislative compliance
.o Actively organize management's scheduling needs
Arrange and facilitate meetings, ensuring all parties can attend and that rooms are available
Attends meetings and takes minutes when needed
Assists upper management with any travel bookings, rentals etc.
Prepare documents for external or internal communications
Qualifications
- Proven experience with accounting software (Sage,)
- Familiarity with budgeting and financial reporting
- Strong organizational and multitasking abilities
- Excellent communication skills
- Previous experience in office management is a plus
