Job Description

Epic Inspired is a Vancouver-based full-service creative agency that provides marketing and branding solutions to various corporations and projects, ranging from local real estate developments to internationally recognized brands. Since 2001, we have been creating culturally and technologically relevant and beautiful brand experiences that add value to our clients.

We are currently seeking a detail-oriented Bookkeeper/Office Assistant to join our team and assist with day-to-day operational activities in our Downtown office. The ideal candidate will have at least 5 years of past accounting/bookkeeping experience and possess a working knowledge of accounting procedures and operational policies, including A/R, A/P, and taxes. They should also have superior organizational and time management skills to ensure the efficient operation of our office.

Assistant will be responsible for a variety of accounting, bookkeeping, and reporting activities, including recording revenues and expenses, managing receivables and payables, handling deposits, running financial reports, and ensuring daily/weekly/monthly reports are organized.

In addition to accounting and bookkeeping, the successful candidate will be responsible for maintaining company accounting policy, tracking attendance/vacation and timesheets, maintaining employee benefits plans, coordinating staff events, assisting in recruitment and orientation, ensuring legal compliance, presenting a professional, welcoming first contact to clients, visitors, vendors, and business partners, maintaining continuity of work operations and procedures by liaising, documenting, and communicating appropriate actions to executive, identifying irregularities, and contributing to the development and implementation of efficient office systems.

The Assistant will also be responsible for managing common spaces for appearance and functionality and managing office supply levels, as well as computer equipment and digital tools, to ensure a smooth operation in our creative studio. They will liaise with the Systems Administrator to ensure that operational standards are met and conformed and manage various client and talent meeting sessions both onsite and offsite to properly equip and prepare meeting environments.

Other responsibilities include coordinating schedules and meetings, preparing and filing documents, playing host, providing support in online research, liaising with vendors/suppliers, performing other administrative duties, addressing enquiries, reviewing applications, orientations, welcome packages, renewals, etc., maintaining accurate and up-to-date client data on CRM, generating client reports as requested, assisting with meeting minutes, as needed, assisting finance with data entry, payment information enquiries, and filing, managing and assisting various A/R A/P related work through an automated company system, and assisting project managers and project initiatives, as needed.

Qualifications for the position include 10+ years of Excel (macros, pivot tables, graphs etc..) 5+ Quickbooks Online or equivalent, working in a creative/marketing/advertising environment is an asset. Knowledge, skills & proficiencies required include exceptional organizational skills and the ability to prioritize a busy workload, excellent written and verbal communication skills, excellent interpersonal and relationship management skills, excellent proficiency with Mac OS and Microsoft Office suite (Word, Excel, Outlook), QBO or equal, and project management software experience.

Qualifications:
