We are looking for a
Junior Bookkeeper / Assistant Office Manager
to join our administrative team and support the smooth financial and day-to-day operation of the firm.
Role Summary
Reporting to and working closely with our Senior Bookkeeper / Office Manager, you will help manage the firm's day-to-day bookkeeping and provide general office support. This is a great opportunity for someone early in their accounting or administrative career who wants hands-on experience, mentorship, and exposure to how a busy law firm runs.
You will assist with accounts payable, accounts receivable, reconciliations, financial reporting and general office administration. You will also act as backup for the Senior Bookkeeper / Office Manager during absences.
Key Responsibilities
Bookkeeping & Finance
Record and maintain all financial transactions using accounting software (e.g., QuickBooks)
Process
accounts payable
: vendor invoices, expense reimbursements, and scheduled payments
Process
accounts receivable
: issuing invoices, recording client payments, following up on outstanding accounts
Assist with bank and credit card reconciliations to ensure accuracy of financial data
Help prepare basic financial reports and summaries for management review
Support payroll-related data entry and liaise with our payroll provider as needed
Maintain organized, accurate, and up-to-date financial records in line with firm policies and professional standards
Act as backup to the Senior Bookkeeper / Office Manager during vacations or absences
Assist with ordering office supplies and maintaining an organized office environment
Help with vendor coordination (e.g., office equipment, IT, cleaners, couriers)
Provide general administrative support to the partners and legal staff as needed (e.g., scanning, filing, basic data entry)
Support onboarding and offboarding administrative tasks for new and departing staff (e.g., setting up accounts, collecting keys/cards)
Skills & Qualifications
Practical experience in bookkeeping or accounting support role (co-op, internship, or 1-3 years experience) ora recent diploma/certificate in accounting, bookkeeping, or business administration
Basic understanding of bookkeeping principles and practices
Experience with accounts payable, accounts receivable, and bank reconciliations
Comfortable learning and working with accounting software (QuickBooks, Sage, Xero, etc.)
Strong attention to detail and accuracy
Excellent organizational skills and ability to manage multiple priorities
Strong written and verbal communication skills
Ability to handle confidential information with discretion and professionalism
Experience working in a law firm or professional services environment
Familiarity with Clio or other legal practice management/billing software
Experience supporting payroll or HR-related administrative tasks
