We are seeking a detail-oriented and proactive Administrative Assistant to manage the company's financial records, payroll processing, and certain human resource administrative functions. This position requires strong accounting skills, knowledge of payroll and benefits administration, and the ability to produce accurate, in-house financial reports. The ideal candidate will ensure compliance with regulations while supporting day-to-day financial and HR operations.
Duties
Maintain and manage the company's general ledger, ensuring accuracy and compliance with accounting standards.
Process payroll for all employees, including tracking time, verifying hours, and ensuring proper deductions.
Administer employee benefits plan, including enrollment, updates, and coordination with providers.
Prepare and file worker's compensation reports and ensure compliance with applicable laws and regulations.
Perform account reconciliation and bank reconciliation to ensure accuracy in financial records.
Maintain organized financial and employee records, ensuring confidentiality and security of sensitive information.
Conduct account analysis and assist in budgeting processes to help manage departmental finances.
Prepare financial statements and reports as needed for management review.
Maintain organized filing systems for both physical and digital documents to ensure easy retrieval of information.
Support year-end financial closing and audits.
Provide guidance on HR- related financial matters and ensure alignment with company policies.
Qualifications
Proven experience as an Administrative Assistant or in a similar role, preferably within an accounting or finance environment.
Proficiency in accounting software such as Great Plains is highly desirable.
Strong understanding of bookkeeping principles, including accounts payable, accounts receivable, account reconciliation, bank reconciliation, account analysis, and budgeting.
Excellent organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
Strong communication skills, both written and verbal, with a professional demeanor.
Ability to handle confidential information with integrity.
