We are seeking a detail-oriented and organized Administrative Assistant to join our family business. The ideal candidate will play a crucial role in supporting our daily operations by managing various administrative tasks, particularly in the accounting department. This position requires proficiency in accounting software and a solid understanding of bookkeeping practices. The Administrative Assistant will be responsible for maintaining accurate financial records, assisting with payroll, and ensuring smooth communication.
Responsibilities
Manage accounts payable and accounts receivable processes to ensure timely payments and collections.
Perform account reconciliation and bank reconciliation to maintain accurate financial records.
Assist with payroll processing, ensuring compliance with company policies and regulations.
Utilize accounting software such as QuickBooks, Sage, or Xero for bookkeeping tasks.
Conduct account analysis and budgeting to support financial planning efforts.
Maintain organized financial documentation and files for easy retrieval.
Provide administrative support to the accounting team, including scheduling meetings and preparing reports.
Respond to inquiries from staff and clients regarding financial matters.
General office management tasks
Requirements
Proficiency in sage is highly desirable.
Strong understanding of bookkeeping principles and practices.
Experience with accounts payable, accounts receivable, account reconciliation, and bank reconciliation.
Familiarity with payroll processing is a plus.
Excellent organizational skills with attention to detail.
Strong communication skills, both written and verbal.
Ability to work independently as well as collaboratively within a team environment.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
