Summary
We are seeking a detail-oriented and experienced Bookkeeper and Administrative Assistant to join our team on a part-time basis. This role is responsible for maintaining accurate financial records, processing payroll, and ensuring strong financial reporting, while providing administrative support that helps keep the office running smoothly.
The ideal candidate brings solid bookkeeping expertise, a strong understanding of accounting principles, and proficiency with accounting software such as QuickBooks Online. This position plays a key role in maintaining the financial integrity of the organization and supporting efficient internal operations in a small, mission-driven nonprofit environment.
Responsibilities
Financial & Bookkeeping
Manage accounts payable and receivable
Enter and reconcile expense account submissions, vendor bills, donor and grantor payments, and do bank deposits
Monthly bank and credit card account reconciliations
Process bi-monthly payroll and maintain payroll records
Prepare and file GST and WCB remittances
Maintain accurate records in QuickBooks Online
Generate monthly and quarterly financial reports for the Executive Director and Board of Directors
Assist in budgeting and forecasting activities to support financial planning
Support the annual audit by preparing accurate trial balance, working papers and draft financial statements
Maintain organized financial records and documentation
Office Administration
Provide general administrative support to enhance overall office efficiency
Maintain up-to-date administrative records and internal tracking documents
Coordinate office logistics including supplies, equipment, and basic facilities needs
Support meeting scheduling, coordination and material preparation
Liaise with external service providers such as IT support and office service vendors as needed
Support compliance-related administrative documentation and record-keeping
Complete other general administrative and office duties as required in a small, collaborative organization
Qualifications, skills & experience required
3+ years experience in bookkeeping and office administration
Strong understanding of generally accepted accounting principles and ability to prepare records to trial balance
Proficiency with QuickBooks Online and Microsoft Office, particularly Excel
Experience with payroll processing and systems such as Payworks or similar
High attention to detail and strong organizational skills with an ability to prioritize, execute and complete multiple tasks in a timely and effective manner
Ability to manage multiple priorities independently
Strong written and verbal communication skills
Experience working with non-profits is an asset
