: Accounting & Administrative Assistant



Position Overview


The Accounting & Administrative Assistant plays a key role in supporting the Controller with day?to?day bookkeeping and financial operations. This individual ensures the smooth flow of information, paperwork, and financial accuracy across the organization. The ideal candidate is punctual, organized, efficient, and confident in managing multiple responsibilities throughout the day.

Key Responsibilities Accounts Payable & Receivable



Process vendor invoices, verify accuracy, and prepare payments. Maintain up?to?date AP and AR records, ensuring timely follow?ups and reconciliations. Monitor outstanding receivables and support collection efforts when required.

Invoicing & Financial Documentation



Prepare and issue customer invoices with accuracy and consistency. Track invoice status, resolve discrepancies, and maintain organized digital and physical records. Assist with month?end and year?end documentation as directed by the Controller.

Payroll Oversight



Support payroll preparation by gathering timesheets, verifying hours, and ensuring all required documentation is complete. Coordinate with the Controller to ensure payroll is processed accurately and on schedule.

Office Administration & Workflow Management



Maintain organized filing systems for financial documents, contracts, and operational paperwork. Ensure the office stays on top of paperwork, deadlines, and financial workflows. Assist with general administrative tasks to support smooth daily operations.

Qualifications & Skills? Professional Skills



Experience in bookkeeping, accounting support, or administrative finance roles. Strong understanding of AP, AR, invoicing, and payroll fundamentals. Proficiency with accounting software and Microsoft Office (Excel, Outlook, Word).
