JOB DESCRIPTION
We are looking for an experienced Bookkeeper / Accountant to join our team. This is a part-time role -- 4 days per week, totaling 24 hours.
The ideal candidate has worked independently in a small to mid-sized office environment (experience in a creative industry is a bonus!). You will be the key person keeping our financial systems organized, compliant, and providing meaningful insights that help our business grow.
RESPONSIBILITIES
FULL-CYCLE BOOKKEEPING & REPORTING
Maintain up-to-date books in QuickBooks Online & Desktop
Reconcile bank & credit card accounts monthly.
Manage accounts payable (A/P) and accounts receivable (A/R)
Post adjusting entries for accruals, depreciation, and corrections (as trained)
Prepare monthly financial reports for review (Income Statement, Balance Sheet, Trial Balance, Aged Receivables & Payables)
PAYROLL & COMPLIANCE
Process semi-monthly payroll.
Prepare and remit CRA source deductions (CPP, EI, income tax)
Prepare GST filings and WCB premiums.
Prepare T4s and ensure payroll regulatory compliance.
YEAR-END & CORPORATE TAX SUPPORT
Organize and provide all necessary reports and backup for external accountants.
Coordinate with our lawyer's office to ensure annual corporate filings are completed on time.
OPERATIONAL SUPPORT
Maintain organized billing binders; prepare progress billing invoices, retainers, and deposit requests.
Keep QuickBooks projects organized and up to date.
Prepare timesheet reports for review by Principals, make corrections as needed.
Maintain both digital and physical filing systems.
CLIENT & VENDOR COMMUNICATION
Maintain professional, positive relationships with clients and suppliers.
Communicate clearly and courteously about invoicing, payments, and account reconciliations.
CONTRIBUTE TO BUSINESS INSIGHTS
Maintain accurate financial records.
Identify trends or inconsistencies and provide practical insights to support informed decision-making.
WHAT WE'RE LOOKING FOR
EDUCATION & EXPERIENCE
Diploma or certificate in Accounting, Bookkeeping, Finance, or a related field
3-5+ years of full-cycle bookkeeping experience, ideally in a small to mid-sized business
Experience preparing payroll remittances (CRA source deductions, GST, WCB) and T4s
Experience collaborating with external accountants on year-end prep and corporate tax filings.
Bonus: experience working in a creative firm (interior design, architecture, etc.)
TECHNICAL SKILLS
Proficient in QuickBooks Online & Desktop
Strong Excel skills (pivot tables, VLOOKUP, reconciliation reports)
PERSONAL QUALITIES
High attention to detail and accuracy in data entry and reporting
Excellent time management and ability to prioritize multiple deadlines.
Strong written and verbal communication skills
Discretion and professionalism in handling confidential financial information
Proactive and enjoys finding ways to improve processes.
Collaborative and adaptable in a fast-paced, evolving environment.
NICE-TO-HAVE
CPB (Certified Professional Bookkeeper) or PCP (Payroll Compliance Practitioner) certification
Familiarity with annual corporate legal filings
