Our mission is to increase mobility and independence for those with vision loss--and none of it would be possible without the generous support of our donors. We are seeking a detail-oriented and mission-driven Bookkeeper & Office Coordinator to help manage our finances and ensure an exceptional donor experience.
Position Overview:
The Bookkeeper & Office Coordinator plays a key dual role within our team: maintaining accurate financial records and supporting the integrity of our donor stewardship process and ensuring the smooth running of our office. This position is ideal for someone who brings both accounting expertise and a passion for helping others through effective fundraising support.
Key Responsibilities:
Office Duties:
Assist Director of Finance with operations pertaining to Facilities, Security, Office Administration, and IT.
Prepares office & vehicle maintenance and repairs plans.
Assists new employees' workspace set-ups, and ongoing office equipment training development as needed.
Participates in the onboarding process for new employees and provides support to visitors.
Organizes office operations, procedures and schedules meetings, and appointments.
Collaborates with all administrative staff.
Bookkeeping Duties:
Record day-to-day financial transactions and maintain accurate ledgers
Reconcile bank and credit card statements
Manage accounts payable and receivable
Maintain monthly Inventory
Support the annual audit and budget preparation process
Ensure compliance with CRA requirements and financial best practices for charities
Donations Coordination Duties:
Process incoming donations (cheques, online, EFT, and in-kind) accurately and in a timely manner
Generate and issue official tax receipts
Maintain and update the donor database with accurate records
Work closely with fundraising staff to support donor communications and campaigns
Respond to donor inquiries and provide excellent stewardship and support
Assist with reporting and analytics on donation trends and campaign performance
Help coordinate donation-related materials and acknowledgment letters
Qualifications:
Minimum 5 years of experience in bookkeeping and charitable donations
Minimum 2 years bookkeeping course
Proficiency in QuickBooks Online, Microsoft Excel, Online banking software, and donor database systems, NXT preferred
Strong attention to detail and accuracy
Excellent organizational and time management skills
Strong communication and interpersonal skills
High level of discretion and confidentiality
Knowledge of CRA charitable receipting guidelines is required
