Position Overview
UP Vertical Farms is seeking a dependable and detail-oriented bookkeeping professional to support the onsite financial and administrative operations of our advanced indoor farming facility. The Bookkeeper and Financial Admin Supervisor plays a key role in maintaining accurate financial records, managing accounts payable and receivable, processing payroll, and supporting daily administrative tasks that ensure smooth business operations.
The ideal candidate will demonstrate strong proficiency in bookkeeping and accounting software, sound knowledge of accounting principles, and excellent organizational skills. This position reports directly to the Accountant and works collaboratively with the Operations, HR, Marketing & Sales, Grow, R&D, Food Safety departments and Management teams to support efficient financial management, compliance, and reporting. Regular hours may include standard weekdays with occasional flexibility during quarterly and year-end reporting periods.
Work is performed in accordance with company policies, generally accepted accounting principles (GAAP), and Canadian financial regulations. The Bookkeeper and Financial Admin Supervisor exercises sound judgment in handling confidential financial information, maintaining accurate records, and ensuring timely completion of financial deliverables. Performance is evaluated by the Accountant based on accuracy, timeliness, organization, and adherence to accounting and company standards.

Duties and Responsibilities
Include but are not limited to:
Maintain complete and accurate records of all financial transactions in compliance with company and regulatory standards.
Manage accounts payable and receivable, including invoice processing, vendor payments, and collection follow-ups.
Record daily transactions in accounting software (QuickBooks or ERP system).
Prepare and process payroll accurately, ensuring all deductions and remittances are submitted on time.
Conduct monthly account and bank reconciliations; identify discrepancies and resolve promptly.
Analyze accounts to identify discrepancies and resolve issues promptly
Assist with budgeting, cost tracking, and preparation of financial statements or management reports.
Maintain organized financial records in compliance with company policies
Maintain organized digital and physical financial files for audit and compliance purposes.
Support administrative operations including reception, mail handling, inventory management, and office organization.
Track incoming and outgoing shipments, office supplies, and service requests.
Coordinate communication across departments to support finance, logistics, and operations needs.
Utilize accounting software such as QuickBooks for efficient record-keeping
Assist management with procurement and expense reporting.
Coordinating, purchasing and picking up general administrative items
Perform additional administrative or financial tasks as assigned by supervisors.
Carry out miscellaneous administration tasks as requested by managers
Performs other duties as required.
Qualifications
Valid Class 5 BC Drivers License.
Post-secondary education in Accounting, Business Administration, or related discipline.
Proven experience in bookkeeping, accounting, or administrative roles.
Prior experience in QuickBooks and Microsoft Office (Excel, Word, Outlook) is required.
Strong understanding of accounting principles and general ledger maintenance.
Experience with payroll processing, reconciliations, and financial reporting.
High attention to detail with excellent organizational and time management skills.
Ability to manage multiple priorities and meet deadlines.
Effective communication and interpersonal skills for working across departments.

Working conditions
100% onsite, in-office role
Work atmosphere is professional, respectful, and team-oriented, with a strong emphasis on safety, communication, and cooperation.
Work is performed in indoor and outdoor environments, including warehouses, loading areas, and during vehicle operation in varied weather and traffic conditions.
Must be able to work on-site at UP Vertical Farms in British Columbia.
Work performed primarily in an office environment with occasional visits to operations areas.
Requires extended periods of sitting, computer use, and handling of standard office equipment.
Standard Monday to Friday schedule; additional hours may be required during peak reporting periods.

Compensation and Benefits:
Annual salary range is between $50,000-$55,000 per year based on experience and qualifications.

Approximately 40 hours per week / 5 days per week.
Mornings, Days, evenings and night shifts on weekdays or weekends.
Daily shift end times for associates vary based on production needs.
