Our Recreation Department is looking for a dedicated Booking Supervisor to join the team.



Position Responsibilities




Reporting to the Entertainment Operation Manager, the Booking Supervisor is a specialist in the Recreation Management Software (Xplor Recreation) system for the City of Grande Prairie. Working in this position, you will ensure system functionality, provide training and support for users, and implement the future direction of the system's use in recreation, while managing the daily operations of the booking staff. You will collaborate with team members and other related internal City departments/staff to provide a top-notch user experience through best practices, user training, uniform processes, troubleshooting, problem solving, maintaining data integrity, and needs assessment. You will perform standardized reporting, tracking, monitoring, and statistical compilation to assist with ensuring the accuracy of financial components of the system as well as to provide information required for departments' key performance indicators and business growth initiatives.


We are looking for a highly motivated, results-based individual with a successful track record in streamlining implementing process.


This individual is a proven leader with previous training and management software experience. The successful candidate will be a strategic, outgoing, and flexible individual proficient in navigating balancing competing priorities while ensuring that the software remains up to date and efficient for both customers and clients.


The person will also give back up support to the Box Office with the ticketing software Paciolan.




In this role, you will responsible for:


Lead, manage and support the booking teams with all City of Grande Prairie user groups Lead, manage and plan the work within the Recreation Software Give back up support to the Box Office with the ticketing software Paciolan. Develop and promote a positive organizational culture while leading staff to focus on the bookings process and delivering exceptional customer service Recruit, performance manage, and develop staff according to organizational policies Develop and deliver a standardized training curriculum ensuring consistent delivery and application As system updates occur, you communicate to impacted users with information on what is new, the impact to processes, applicable -training required, and roll out guidelines Monitor, report, identify, and correct data discrepancies to maintain data integrity Provide clear, concise reports used for financial forecasts, budgeting, and business growth decision Problem solve and address user concerns, system and booking inquiries Maintain system user access and setting security levels Maintain the system web presence giving online customers an experience that is user-friendly, accurate, and efficient Collaborate and work with key City staff to meet business goals related to websites and social media


Qualifications



High school plus post-secondary education in Commerce, Business Administration, Office Administration or equivalent experience. 2-4 years administrative experience Conflict resolution skills Excellent written and verbal communication Ability to work independently and as part of a team Advanced data entry experience Microsoft Office experience Time management skills Strong attention to detail Class 5 Driver's License


Hours




The standard workweek consists of an average of 40 hours, with the specific schedule being determined by the immediate supervisor.




Compensation




Salary range of $36.11 to $46.69 as per hour as per the Out-of-Scope Agreement.
