About the Opportunity

Under the direction of the Health Services Manager and Program Director and working in collaboration with the clinical director and broader administrative team, the Booking & Registration Clerk B contributes to the effective operation of the Mental Health and Addiction teams.

The Booking & Registration Clerk B is responsible for clerical duties essential to efficient client flow and office operations. The Clerk is responsible for timely, accurate, and confidential booking and registration of clients by telephone or in person, obtaining information, entering the information into the appropriate system, coordinating the flow of clients and documents, and assisting clients and care providers when necessary. The Clerk may be required to provide coverage for other clerical staff when requested by the manager or delegate. Using a customer service approach the clerk will be a key communication person for the service.

Responsibilities can include but are not limited to:

  • General office duties, including typing, data entry, filing, copying, answering phone calls or in person requests
  • Booking client appointments in PHS and notification to clients
  • Accurate, timely and complete registration of clients
  • Based on established process and policies, ensure client documents are prepared and entered in One Content
  • Provides release of health information for on-going clinical care to internal and external areas/facilities as per policy
  • Committee participation as required
  • Order supplies from internal and external sources
  • Use of Microsoft Excel or Word to maintain information or track results
About You
  • Grade XII plus one-year related experience, or graduate of a recognized one year secretarial/office/business program
  • Experience working in a healthcare setting - specifically Mental Health and Addictions is preferred
  • Demonstrated typing proficiency of 40wpm
  • Experience with Microsoft Office products - Outlook, Word and Excel
  • Medical terminology is an asset
  • Effective communication and interpersonal skills
  • Demonstrates problem solving and decision-making skills
  • Expectation of a high level of Customer Services when dealing with clients, families, clinical teams and the public
  • Commitment to maintain and protect client, staff, and personal safety on an ongoing basis
  • Commitment to confidentiality and privacy of NSHA clients
  • Annually access the training and education on client and personal safety made available by NSHA
  • Ability to organize and prioritize duties, while maintaining attention to detail and accuracy
  • Competencies in other languages an asset, French preferred
