Booking Coordinator

who brings professionalism, compassion, and strong administrative skills to support patients from their very first interaction with us.

This role is central to creating a smooth and supportive patient journey -- from managing referrals to booking initial consults and ensuring our providers have everything they need for an effective appointment.

About the Role



As the Booking Coordinator, you are the first point of contact for many of our patients and referral partners. You will manage incoming inquiries, review and process referrals, schedule initial consults, and ensure each patient is matched to the right provider at the right time. Your work directly supports clinical flow, access to care, and the patient experience.

You will work closely with our physicians, physiatrists, physiotherapists, and administrative team to keep our schedules accurate, organized, and aligned with clinical priorities.

What You'll Do



Book initial consults across orthopaedics, physiatry, physiotherapy, and other clinical services Review incoming referrals, ensure completeness, and follow up with referrers as needed Enter referral data into the EMR and manage patient waitlists Respond to patient calls and emails with clarity and empathy Send intake forms, imaging reminders, and appointment confirmations Prepare provider schedules and ensure all required documentation is attached Handle cancellations, rescheduling, and urgent booking adjustments Maintain accurate and organized records in the EMR Collaborate with clinical and administrative leads to resolve scheduling issues and improve workflow

Patients feel informed, supported, and guided from the moment they reach out Referrals are processed accurately and quickly Providers walk into consults with complete, organized charts Schedules run efficiently with minimal corrections Communication with patients and team members is timely, clear, and professional

What You Bring



Experience in a medical, physiotherapy, or allied health clinic (musculoskeletal experience is an asset) Strong administrative and customer service skills Excellent communication -- warm, clear, and patient-focused Comfort working in busy environments with high volumes of calls and emails Strong attention to detail and accuracy Ability to navigate EMR systems and learn new platforms quickly Calm, compassionate presence and a commitment to patient care Ability to multitask, prioritize, and adapt as schedules change

Job Types: Full-time, Part-time

Pay: $18.00-$21.00 per hour

Expected hours: 20 - 40 per week
