The Alberta Real Estate Association (AREA) is the provincial professional organization that represents the interests of 15,000+ REALTORS and 10 regional real estate boards/associations provincewide.





Based in Calgary, the association's mission is to provide strategic leadership through AREA's member-centric advocacy, professional development and provincial services to advance the Alberta real estate profession and our members' success.

Scope





Reporting to the Managing Director, the Board Assistant provides virtual support to the members of regional Boards/Associations supported by AREA EO Services as well as AREA's 15,000 REALTOR members.

Responsibilities




Answer phone calls and emails supporting members and AREA members with general inquiries and questions regarding real estate practice rules. Foster strong relations by providing responsive and customer-focused support. Troubleshoot issues quickly and professionally and provide options. Coordinate membership activities - signing up new members, transferring members, departing members, including keeping partner organizations and insurance records updated. Monitor/audit board MLS listings. Support member communication - Pillar 9 postings and distribution of member messages. Coordinate lock box programs. Responsible for CREA Board reporting. Provide administrative support to the Managing Director when related to regional Board and association matters. Assist in monitoring compliance with applicable policies, bylaws, and reporting requirements. Support the onboarding for new regional Board members, including preparation of welcome materials and coordination of education sessions. Support logistics such as meeting room setup, catering, technology support, and travel arrangements when required. Track and follow up on action items and decisions as directed by Managing Director.



Qualifications




Post-secondary education in business administration, office management, or related field, or comparable combination of education and work experience. Minimum three (3) years of administrative support and customer service experience, preferably in a nonprofit Board environment. Real estate experience is preferred, but not required. Advanced proficiency with Microsoft Office Suite, online meeting platforms (e.g., MS Teams), and adept at managing program documentation (policies, procedures, reports).

About this Position





This position is based in the Calgary office; however, may be performed remotely by candidates residing outside Calgary and the greater Calgary area. Due to the nature of this position, there may be an occasional requirement to work evenings and weekends.
