Bigwin Island is a unique and beautiful 520-acre private island located on Lake of Bays in the heart of Muskoka. The island is home to approximately 100 privately-owned properties dotting the island's shoreline, and Bigwin Island Golf Club (BIGC) - a world-renowned private golf course - nestled within the island's interior. Bigwin Island Waterfront Association (BIWA) is a membership-based incorporated not-for-profit homeowner's association whose objective is to enhance and preserve the quality of life of the Bigwin Island cottaging community through effective and efficient coordination of property services and amenities.

About You



You are a high-integrity problem-solver who, with the support and direction of the BIWA Board, manages projects and tasks effectively with minimal supervision. A strong administrator with accounting fluency, you also enjoy variety in your role and don't mind rolling up your sleeves to ensure things are done properly. You possess strong organizational skills, excellent customer service abilities, and a passion for enhancing community living experiences. You are community-minded, dependable, and work to become the primary trusted resource for residents, ensuring the services run smoothly and the community feels connected and well-cared for.

Job Summary



Reporting to the BIWA Board of Directors, the BIWA Community Manager is a key position that is responsible for overseeing the daily operations, administration, and maintenance of the BIWA residential community. This role serves as the primary liaison between the Board of Directors, Members (residents), and service providers - both third-party and Bigwin Island Golf Club (BIGC) management and staff. This role requires a blend of administrative expertise, property management knowledge, and interpersonal skills to foster positive relationships with residents and stakeholders.

Key Responsibilities



This position will have overall responsibility for BIWA administration, and services/program coordination.

Administrative Duties:

Implement and enforce BIWA policies, procedures, and rules as established by the Board. Maintain accurate and up-to-date records of association activities and correspondence. Manage resident communications through newsletters, websites, or other channels. Development and maintenance of the Member Handbook and Island Community Map Collaborate with web provider to maintain BIWA website with Vendor Directory Design, share and summarize Member satisfaction surveys Assisting in seeking viable service provider proposals
Member Services:

Be the central point of contact for BIWA Member support, including new Member orientation Respond to homeowner inquiries and concerns in a professional and timely manner. Assist in coordinating third party service providers to find efficiencies for residents (primarily golf cart maintenance, propane and other common services) Collaborate with Club staff and management team on Club-provided Member services Organize and execute community events and social activities
Financial Management:

Assist with preparation and management of the annual budget. Collect annual dues and fees; follow up on delinquent accounts. Review and approve invoices and payments in accordance with the budget. Provide regular financial reports to the Board of Directors.
Maintenance & Property Management:

Oversee maintenance and repair of common lands. Solicit and manage contracts with vendors. Conduct regular cottage path and road assessments and oversee maintenance and improvement projects. Handle emergency issues as they arise. Oversee maintenance and insurance of all BIWA physical assets Manage the winter Cottage Watch program - facilitating communication between the property check crew and residents primarily using the QRID it Home Watch software
Board Support:

Advise and support the Board of Directors and Sub-committees. Prepare and distribute calendar invites, agendas, notices, and reports for board meetings and annual meetings. Schedule, organize and attend board meetings, provide operational updates, and create meeting minutes. Facilitate AGM via Zoom Webinar, with online voting features.

Qualifications



Proven experience in property management, community management, or a related field. Strong administrative skills with understanding of HOA governance, budgeting, and maintenance operations. Excellent communication, customer service, and conflict-resolution skills. Ability to manage multiple tasks and deadlines. Demonstrated judgment and problem-solving skills Proficient in Microsoft Office, email campaign systems, basic graphics such as Canva Driver's license (golf cart operation required) Previous property management or hands-on maintenance experience a strong asset.

Working Conditions



Office-based with regular site visits throughout the community. Occasional evening or weekend meetings required. During Spring/Summer/Fall work from office on Island with Winter remote work. May require lifting of materials (up to 25 lbs).
