Position Overview
As the
Receptionist / Office Administrator
, you'll be the first point of contact for clients and play a vital role in ensuring smooth day-to-day operations. This role is ideal for a proactive multitasker who enjoys supporting both clients and internal teams with professionalism and care.

Key Responsibilities
Client Service & Communication
Greet and assist clients with inquiries related to policies, coverage, and claims.
Provide clear guidance on insurance products and policy changes.
Build strong, respectful relationships with clients by understanding their unique needs.
Resolve service issues efficiently, aiming for first-contact resolution.
Maintain accurate and confidential records of client interactions.
Stay up-to-date on industry trends, product updates, and regulatory changes.
Reception & Communication Management
Answer and manage incoming calls: screen, redirect, and take messages.
Ensure timely and accurate message distribution to relevant team members.
Operational & Administrative Support
Manage daily operational tasks, including non-payment follow-ups and message tracking.
Handle bank deposits and payments with precision.
Process incoming and outgoing mail, packages, and deliveries.
Support sales and service teams in achieving client service and sales goals.
Office & Resource Management
Monitor and order office supplies to maintain inventory levels.
Assist with document preparation, scheduling, and project coordination.

Qualifications
Associate's degree or higher in office/business administration (preferred).
Minimum 2 years of experience in a receptionist or administrative role.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office and office management systems.
Commitment to delivering outstanding customer service.
General Insurance License (Level 1 or 2) is an asset, but not required at the time of interview.
Fully bilingual in English and French, with strong verbal and written skills.
