About the Opportunity

Our client is seeking a Events and Member Relations Specialist for a long term contract.

Duties include but are not limited to:

• Help make key decisions related to membership meeting objectives and design
• Assess risks in advance of any major undertaking and advises senior management on precautions-from financial to health to logistics-that would be prudent to consider
• Advise on delivery format, location and venue for all types of association events and develop the appropriate project management framework for major events, including strategy, key stakeholder involvement in planning, workback schedules and internal communication on progress
• Responsible for organizing and delivering the new suite of programming: virtual leadership series, advocacy dialogues, peer forums and international relations events
• Do technical walk-throughs with members, executives, external speakers and helps trouble shoot high-stakes moments in high-production, high-pressure events
• Perform meeting site inspections
• Establish, monitor and manage the financial budgets for the meeting
• Compile and prepare the meeting program and related online or print materials and coordinates production and posting of meeting materials and prepares meeting scenarios for the vice-presidents, president and board chair
• Coordinate the evaluation of the success of the meetings
• Conduct contract negotiations with supplier partners, on-site personnel for meetings, contract support, financial management and contingencies
• Plan and negotiate the services which will be required in order to execute the meeting and related social events
• Manage the member and public relations assistant in looking after meeting registration process (e.g. Registration database and reports, hotel room blocks, reservations, room pick-up)
• Maintain logistical control of the meeting with hotel and conference support services (e.g. A/v, interpretation, staff, presenters) before, during and following an event, including pre and post-conference meetings with hotel staff to ensure quality arrangements, issues that arise during the event, etc.
• Other duties as required

About You

The successful candidate will have the following:

• Certified Meeting Professional (CMP) designation (or combination of relevant education and experience)
• 5 years prior similar experience
• Good knowledge of both official languages is essential
• Risk assessment and risk management
• Planning, negotiating and executing supplier relations
• Establishing meeting objectives
• Establishing and managing event budgets
• Program design and development, site selection, event details, marketing, logistics, post-event activities, trade shows and exhibits
• Bilingual is essential

About the Job

This role is a contract opportunity starting at an hourly pay rate of $39.50.
