You will be responsible for carrying out the following duties specific to your Position:

  • Create a positive first impression as you greet clients, guests, and visiting employees
  • Track all visitors, including vendors, visiting employees and guests
  • Manage EV parking and vehicle logs and records, security access cards and keys
  • Assist with tracking employee on-boarding/off-boarding processes.
  • Manage incoming and outgoing courier and other packages or mail as required.
  • Support the annual management plan by accomplishing key performance indicators as identified by management.
  • Demonstrate confidence, professionalism, responsiveness and exceptional customer service skills.
  • Perform other facility management assignments as described by team and manager.
Qualifications
  • Must be fluent in both English and French
  • Answer reception phone calls, directing calls to the appropriate contact
  • Escort visitors to their designated areas when necessary
  • Create and manage access badge requests for client, vendors, guests etc.
  • Manage Client EV parking requests coordinating with the landlord
  • Assist with placing service tickets and maintenance calls on facilities and workspace related items. Follow up on completion of those facilities and workspace issues
  • Assist with special event setups/breakdowns & coordination efforts
  • Assist with managing collaborative spaces and conference/meeting/training rooms coordinating with the Client and/or Day Matron when requested or required
  • Provide backup assistance for incoming and outgoing Mail and Shipping/Receiving services
  • Assist in prepping any outgoing packages. Maintain all mail systems and metrics.
