Summary
We are seeking an Admin and Communications Coordinator to join our team in Canada. This role is vital in enhancing our communication strategies and promoting our initiatives across various platforms from our office in Canada. The Communications Coordinator will play a key part in supporting our mission to promote social justice through effective communication. The role will also entail supporting the Executive Director, staff, Board of Directors, and committees through efficient coordination of meetings (both virtual and in person), document preparation, Conference planning support, and day-to-day administration and communication.
Responsibilities
Admin
Prepare and format documents, reports, and correspondence with accuracy and professionalism
Support the coordination of meetings for the Board, committees, and working groups, including:
Scheduling and managing virtual calendars
Preparing agendas, notetaking, and writing minutes
Organizing Zoom or Teams logistics
Oversee logistical planning and communications for in person meetings (staff, Board of Directors)
Coordinate communications with a broad range of stakeholders (e.g., Board members, internal groups and committees, external partners)
Assist with logistical planning and communications for the Annual Conference
Maintain internal filing and shared drive systems
Communications
Develop and implement comprehensive communication plans aligned with CASWE-ACFTS's goals.
Manage content creation for websites, newsletters, and social media channels.
Coordinate public speaking engagements and represent the organization at events.
Conduct research to inform communication strategies and improve outreach.
Proofread and edit all organizational materials to ensure clarity and professionalism.
Collaborate with teams to promote programs, publications, and initiatives.
Write, design, and distribute monthly e-newsletters
Makes use of Cyberimpact to communicate with members about events and news items.
Liaise with constituency groups to book room or meeting platform (ie. Zoom) for annual meetings
Support initiatives to further engage existing membership
Attends meetings as necessary.
Qualifications
Bilingual English/ French
University degree in social work
Proven experience with administrative tasks such as scheduling, document preparation, and meeting coordination
Previous experience with organizational communication needsProven experience in communications or related fields.
Excellent research abilities.
Capacity to work with confidential information
Proficiency in proofreading, writing, and editing.
Ability to learn new strategies and tools.
Exceptional communication skills both written and verbal in French and in English.
Ability to work collaboratively within a team environment.
Experience with social media management is preferred.
