Your role in a nutshell



Primary Accountabilities:
  • Responsible for the day-to-day administrative support of all group health and welfare plans including medical, dental, short-term disability, long-term disability, life insurance, workers compensation, flexible spending accounts, qualified commuter benefit, and retirement plans.
  • Collaborate closely with carriers, administrators, vendors, and accounting team to ensure invoices are reconciled and processed in a timely manner.
  • Coordinates benefits contributions with payroll (Fidelity deductions and loans, as well as missed benefit deductions)
  • Assist with Leave of Absence intake and coordination with carriers to ensure timely processing of claims; Responsible for tracking time off due to all Leave of Absence including but not limited to: Personal leave, Workers Compensation, FMLA, Parental Leave, and Disability; Maintenance of related files and documents.
  • Assist with benefits orientations as needed and explain benefits self-enrollment system.
  • Function as initial point of contact for benefits-related employee inquiries and escalate to Benefits Specialist, as necessary.
  • Coordinate workers' compensation claims with third-party administrator. Follow up on claims.
  • Support by preparing and maintaining various ad-hoc employee reports including monthly report for employee anniversaries, new-hire and absentee reports.
  • Assist with Severance procedures by preparing and sending severance packages.
  • Assist the Benefits Specialist with ?Open Enrollment? period including but not limited to working with broker/consultant on carrier renewals, updating forms, booklets and partnering with the Benefits Specialist to create collateral for employee education and engagement.
  • Provide support with various compliance deadlines and year-end deadlines including annual filings and notification requirements such as Form 5500, Non-Discrimination Testing, San Francisco Ordinance, Equal Employment Opportunity-1 Report, Third Party Sick Pay, confirm Minimum Wage Rate changes, and Medicare Part D Notification
  • Assist with coordination of employee events, monthly Benefits Newsletter and the distribution of Motivate Me rewards and Service Anniversary Awards.
  • Support monthly census (Perkopolis, Lifeworks, Health Advocate, Calm, MetLife, and other applications
Well Being:
  • Be a passionate ambassador for The Body Shop?s Wellbeing initiatives. Assist in deploying Benefits and Wellness communication and education plans to support onboarding, open enrollment windows, and on-going awareness of total rewards programs.
Leave Management:
  • Assist in liaison with NY Life to manage all leaves and absences while providing education on leave options along with ensuring compliance with all federal and state requirements. Coordinate leave administration with all internal and external parties ensuring seamless execution of the process while maintaining a positive experience for employees and managers.
KPI's and Mertics:
  • Perform other related duties as assigned or requested.
  • Responsible for maintaining the ethical standards of The Body Shop including minimizing the environmental, health and safety risks in the workplace.
  • Report potential risks, near misses and real accidents to relevant managers.
  • Champions, supports, and participates in The Body Shop?s Values and Campaigns

Mission: The Benefits and Leave Coordinator performs general administrative duties under the direction of the Benefits Specialist. This position is also responsible for assisting with the day-to-day administration of the Company?s benefits/insurance plans and leave of absences as well as assisting in payroll processing. The Benefits Coordinator will act as the initial point of contact for benefit inquiries, be a designated ambassador for wellbeing and will liaise as needed with other team members. Skills:
  • Strong organizational, multi-tasking and communications skills, both oral and written
  • Exceptional follow up skills and a strong ability to pay attention to details while maintaining accuracy of task.

  • Candidate must have prior HRIS and report writing experience.
  • Experience working with both Canadian and international employees a plus.

Education & Experience:
  • Bachelor?s degree preferred.
  • Education: College Degree Preferred
  • Experience: Solid experience in a Benefits administration role, within HR preferred
  • 2-3 years of HR, Benefits and/or Leave of Absence programs is preferred.
Tools and Technology Proficiency:
  • Experience with Success Factors or other HRIS database and familiarity with ADP or ADP Workforce Now (desirable).
  • Working independently and as part of a team with strong collaboration and communications skills
  • Proficiency in Microsoft Office Suite, Power point, Word document (mail merge) and basic Excel skills.
