Job Overview:

We are seeking a dedicated and professional Beauty & Wellness Coordinator to join our team. The successful candidate will be the frontline of our spa, ensuring efficient administration and warm patient interactions. This role requires excellent organizational skills, a compassionate approach, and a passion for healthcare and aesthetic improvement.

Key Responsibilities:

- Greet and check-in clients, ensuring a warm and welcoming environment.

- Manage appointment scheduling using clinical software, handling changes or cancellations as needed.

- Facilitate client flow by notifying staff members of clients' arrival promptly.

- Maintain patient accounts by obtaining, recording, and updating personal and financial information.

- Process payments and manage billing information.

- Handle incoming calls, emails, and other communications, providing informative responses and routing messages appropriately.

- Ensure confidentiality and secure handling of all patient records and interactions.

- Assist with the preparation and maintenance of treatment rooms and inventory.

- Coordinate supply and inventory orders with practitioners.

- Provide assistance with marketing tasks as needed including assistance with SMS and email marketing platforms and liaising with website developer

- Provide support to medical staff as required during treatments and consultations.

- Educate clients on med spa services and products, enhancing client engagement and satisfaction.

Qualifications:

- Proven experience as a (Medical) Office Assistant or similar role; experience in a med spa, or clinic is highly desirable.

- Certificate or diploma in (Medical) Office Administration or related field.

- Proficiency with medical software and Microsoft Office.

- Strong organizational and multitasking abilities.

- Excellent communication and interpersonal skills, with an emphasis on customer service orientation.

- Knowledge of medical and aesthetic terminology is an asset.

Job Type: Full-time

Pay: $25.00-$30.00 per hour

Expected hours: No more than 40 per week
