POSITION TITLE: Bar Services Manager SUPERVISOR: General Manager HOURS OF WORK: 35hrs weekly September-April, 30hrs weekly May-August \xe2\x80\x93 regular office hours Monday to Friday, however, due to the nature of the service some evenings/weekends may be required. OVERVIEW The DSU Bar Services Manager plays an integral part in delivering both students and external clients, a fun and safe bar environment to enjoy themselves with us at the DSU. The Bar Services Manager must ensure they run an efficient front and back of house team, that is trained to a high standard and ensure timely and accurate ordering, inventory tracking, and financial reporting in both the TRoom and Grawood bars. The Bar Services Manager must also be willing and able to collaborate and implement new ideas working collaboratively with other senior staff and executive officers. The Bar Services Manager should integrate and help shape the student culture here at the DSU, building a positive environment for all. RESPONSIBILITIES
Ensure adherence to DSU policies, relevant Dalhousie University policies (Alcohol), Collective Agreements, and municipal/provincial/federal regulations \xe2\x80\x93 specifically food/alcohol licensing, and health and safety.
Collaborate with the Director of Conference Services to increase sales, promotional opportunities and develop client business whilst delivering first class customer experience.
In conjunction with Marketing & Design Manager, develop and manage a social media strategy to promote business and opportunities.
To take responsibility for managing delivery of professional bar setups in the Student Union Building.
To maintain and manage high standards of cleanliness and hygiene in all areas, bar/kitchen, bathrooms and inventory rooms.
To ensure that the systems used to support commercial activity are in good working order and that information on tills and order systems accurately reflects the current prices and activities.
Ensure maximum security in all areas under your oversight.
Ensure regular reviews of all required operating equipment at specified intervals and schedule needed maintenance.
Hire, motivate, manage and train back and front of house staff to optimize performance identifying training needs through a regular performance and appraisal system.
Monitor budgets and provide the General Manager with regular reviews on costings, customer satisfaction and operating margins.
Manage purchasing ensuring value for money, working in conjunction with departmental KPI\xe2\x80\x99s, working with purchasing consortia and suppliers to ensure optimisation of prices to achieve budgeted profit margins.
Responsible for financial documents such as reconciling deposits, budget forecasting, inventory maintenance and reconciling cash floats and petty cash.
Responsible for ensuring vendor invoices are processed through accounting, including coding and reconciling.
Ensure all Students\xe2\x80\x99 Union assets, property and resources used by your department and its staff are properly handled, stored and maintained.
Ensure front of house payroll hours are submitted accurately and in a timely manner for pay run processing.
Complete daily reconciliation of cash deposits and sales summaries.
Oversee the bar and beverage inventory system(s) including beer, wine, spirits, pop, coffee, etc., including but not limited to:
Complete monthly inventory counts and establish appropriate stock levels;
Submit orders when inventory is low and/or as needed based on event schedule, etc.; and
Complete period end inventory counts to identify any variances between usage and sales velocity.
Complete accurate and timely administrative duties, including ensuring cash handling procedures are strictly adhered to, including bank deposits.
To create a culture of excellence in customer service ensuring that customers\xe2\x80\x99 expectations are exceeded whenever possible.
To act as a fire warden in line with the fire safety procedures within the department.
To ensure completion of all annual health and safety and fire safety audits in each of the Venues outlets.
To attend from time to time, as required, meetings as necessary to meet the requirements of the post.
Nurturing and development of positive working relationship within Student Union and wider student body to develop and deliver calendar of events.
Acting and operating as a management representative of the DSU Service team, with high attention to detail, professional behaviour and demonstrating a \xe2\x80\x9ccan do\xe2\x80\x9d attitude, including participation in the Dalhousie Alcohol & Cannabis Committee.
Remain knowledgeable on industry trends as they relate to food and beverage programs with a focus on cost, quality, and speed.
Duties may be expanded to other functions as assigned by the General Manager. QUALIFICATIONS
Previous bar supervisory or management experience in a hospitality venue.
Proven experience of strong effective budgetary and financial management.
Proven experience of managing and leading a successful team.
Capable of developing and implementing policies and processes.
Excellent administration and organizational skills.
Self-motivation and ability to work under pressure in a dynamic environment.
Has a good working knowledge of the requirements of safety and licensing - specifically Food safety, alcohol permit restrictions, fire prevention and general health and safety requirements. Serve Right certification (or equivalent) is required.
Experience communicating with small groups of staff and colleagues effectively.
The ability to carry out training with individual staff or small groups and experience of doing this effectively.
Experience in maintaining secure processes in relation to stock movement and the processing of payments.
Experience placing orders and invoicing.
Familiarity with a Point-of-Sale system.
Ability to supervise employees, including organizing, prioritizing, and scheduling work assignments.
Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment.
Good training, coaching and mentoring skills are essential.
Excellent leadership, communication, customer service, conflict resolution and interpersonal skills.
Driver\'s License considered an asset.
Event management experience considered an asset.
