We are seeking a highly organized

AV Scheduling Coordinator

to join our dynamic services team at our

Markham, ON branch

.



Duties and Responsibilities:





Review specifications and contract documents; understand the scope and scheduling requirements including installer qualifications and availability for clients needs. Collaborate with multiple departments such as warehouse personnel, administrative personnel and sales reps who also project manage. Utilize Microsoft Office Suite to schedule a team including installer qualifications and availability for clients needs. The goal will be to ensure installers time is filled up whether it be working onsite, prepping for future jobs, or training to build their skill sets. Occasional visits to job sites to help fully understand and comprehend job coordination. Lots of other administrative functions, growth and opportunities are available as the position progresses. Schedule new projects, site visits, installation, programming, service calls and commissioning. Effectively communicate with clients as the first point of contact for scheduling and service calls. Coordinate with the Installation Manager to provide regular updates on schedules, site readiness and project status. Print and prepare documentation. Liaise with warehouse staff to ensure equipment is ready on time. Work together in a collaborative fashion with schedulers from other branches. Monitor SiteDocs, C.O.R. certifications, and technician safety certifications. Monitor Service ticket requests. Work with admins to manage ETA's of equipment and other logistics. Other administrative tasks as assigned.



Preferred Skills and Abilities:





Ability to communicate in a clear and polite manner. Exceptional organizational and time-management skills. Ability to effectively manage competing priorities. Knowledge of AV equipment would be an asset. Basic office equipment, computer and telephone skills. AV Technical knowledge is required.



Education & Experience:




Previous Scheduling and/or Dispatching Experience and Microsoft Office experience a requirement. Post Secondary Education related to Scheduling, Logistics Coordination, Project Management, Construction Management or other related fields considered a strong asset. Excellent interpersonal and communication skills, both oral and written for constant interaction with all departments and employee levels and outside customers. Ability to handle competing priorities and deadlines effectively and respond to last minute, high priority, time sensitive projects. Highly organized and attention to detail. Knowledge and understanding of the AV Industry considered an asset but not required. 2-3 years of experience in a front-facing, customer service role. Proficient with MS Office Suite (Word/Excel/Outlook). Intermediate plus user of email applications.
