Position Summary
The Service Advisor serves as a key liaison between the service department, customers, and internal dealership operations. This role blends traditional front-line service advising duties--assisting retail customers with repair and maintenance needs--with internal service coordination for dealership-owned vehicles, recon units, and warranty claims. The advisor ensures efficient workflow, accurate documentation, and exceptional customer satisfaction while maximizing productivity and profitability for both internal and customer-pay operations.
Key Responsibilities
Greet service customers in a professional and courteous manner, ensuring a positive service experience aligned with OEM and dealership standards.
Accurately document customer concerns, vehicle symptoms, and requested repairs in the DMS.
Communicate repair estimates, authorization requirements, and repair status updates throughout the service process.
Review completed repair orders with customers, explaining work performed, costs, and any warranty or goodwill adjustments.
Promote maintenance services, warranty extensions, and dealership offerings to enhance retention and profitability.
Handle warranty claims in accordance with OEM policies, verifying coverage, coding, and documentation accuracy prior to submission.
Coordinate with the sales, parts, and used vehicle departments to prioritize and process internal repair orders, including used vehicle reconditioning and dealership-owned fleet maintenance.
Review internal work orders for accuracy, completeness, and cost control; ensure all parts and labor are properly allocated.
Maintain efficient communication between technicians, parts staff, and department managers to minimize downtime.
Support pre-delivery inspections (PDI), warranty pre-approvals, and technical service bulletins (TSBs) for internal and retail vehicles.
Monitor turnaround times for internal repairs to meet department goals and inventory readiness schedules.
Create, update, and close repair orders in compliance with OEM, dealership, and regulatory standards.
Maintain a working knowledge of OEM warranty procedures, time guides, and policy adjustments.
Ensure accurate warranty claim submission and timely follow-up on rejected claims or chargebacks.
Assist with scheduling, dispatching, and managing service workflow to balance customer and internal priorities.
Uphold dealership CSI (Customer Satisfaction Index) objectives and participate in continuous improvement initiatives.
Qualifications
High school diploma or equivalent required; associate or technical degree preferred.
2+ years of experience as a Service Advisor, Internal Advisor, or related dealership role.
Strong understanding of automotive repair processes, warranty policies, and DMS software (e.g., CDK, Reynolds, Dealertrack).
OEM dealership experience highly preferred.
Excellent communication, organizational, and customer service skills.
Ability to multitask and prioritize in a fast-paced environment.
Valid driver's license with a clean driving record.
