Position Summary:
The Associate Director, Student Accounts is responsible for the planning, development, implementation and maintenance of Student Accounts procedures and policies. Analyzes funds and accounts under jurisdiction to ensure compliance with both internal and external reporting needs. Manages staff and resources to deliver the infrastructure used by the Student Accounts Office to sustain service excellence.
Primary Responsibilities:

  • Supervise clerical and managerial employees. Direct, train, and develop staff in accomplishing the area's goals and objectives,
  • Manage cashiering for any cash disbursements issued by Student Aid and/or receipts as well as banking operations associated with all payments of student and sponsor accounts..
  • Implement and develop fee assessment processes for student account charges and payments including tuition and fees, housing, meals, etc. Create documentation accordingly.
  • Lead student account refunds. Manage the process of on-line requests and the activities of the staff who are responsible for processing and approvals. Determine when batch loads are required and monitor usage of system and make recommendations for modifications.
  • Lead Sponsor Billing operations involving generation of invoices, determination of billing criteria, T4'able nature of such payments for students and intervention with complex billing requirements.
  • Direct customer service and perform environmental scans to identify systematic issues requiring a resolution. Responsible for the creation and execution of training for Service Point and Student Accounts staff.
  • Lead staff on accounting functions including journals, reconciliations, and monthly and annual financial reporting requirements.
  • Collaborate with IT services on a regular basis to determine project priorities. Monitor adjustments made to existing systems function as designed, involving creating test plans, and participate in system upgrades.
  • Implement new departmental procedures/methods. This includes a review of procedures for accuracy, problems, programming errors, enhancements, and reconciliations of data ensuring that internal controls are strong, can be implemented and are effective.
  • Develop procedures/policies for improved efficiency and enhanced customer service in accordance with the units goals and objectives.
  • Implement requirements of the Direct Loan system, reviewing daily the requirements for drawing down funds from the US Treasury for students whose applications have been accepted and disbursements authorized. Recommend changes to procedures as well as reconcile McGill's data to government records on a monthly basis.
  • Provide senior professional expertise on McGill internal communications evaluating risk assessment and sector assumptions; and escalate these as necessary to the Senior Director of Student Accounts.
  • Assume overall responsibility for the Student Accounts unit in the absence of the Senior Director.
  • Leads, alongside the Senior Director, the strategic direction of Student Accounts; builds relationships with the Senior Management team and all departments; demonstrates leadership to deliver on all Student Accounts goals.
  • Provide consulting expertise to members of the McGill community and may be required to generate reports to senior management within a tight timeframe.
  • Special projects as required.
Other Qualifying Skills and/or Abilities
  • Strong analytical, investigative and project management skills including ability to interpret and translate business needs into application and operational requirements
  • Experience with Banner FIS, SIS, General and AR systems and reporting tools including expert knowledge of spreadsheets, relational databases, financial reporting, statistical and other applications to compile, manipulate, process, and/or format data and create reports.
  • Programming experience an asset
  • Ability to prioritize and engage in multiple initiatives simultaneously
  • Ability to initiate and effect innovation and change in a complex and changing environment
  • Ability to design and execute training and communication initiatives through training programs
