MOA has worldwide collections which are well known for their coverage of Canadian First Nations, Arctic, Asian, European, and Pacific arts and cultures. The Museum is unique not only because of its physical setting but because it has created unusually close relationships with cultural communities in British Columbia and around the world through experimental and collaborative research methods and exhibitions. Part of MOA\xe2\x80\x99s originality comes from it being a public, research and teaching museum. The cutting-edge scholarship of the Museum makes possible a range of exhibitions and events that cut across traditional disciplinary divisions to provoke creative engagement and dialogue.The Associate Director is responsible for providing leadership and oversight of the Museum\xe2\x80\x99s operations in order to support its academic, research, teaching and public activities. The position oversees the Museum\xe2\x80\x99s exhibition and publication activities and major and minor capital projects. The position is responsible for human resource management, providing leadership in a complex HR environment featuring faculty, a range of museum professional and unionized staff, students, Volunteers Associates and interns.Organizational StatusThe Associate Director is the overall coordinator and primary administrator of the Museum\xe2\x80\x99s operations.The position is directly responsible to the Museum Director and serves as Deputy Director when the Director is away. The Associate Director works in close cooperation with and co-ordinates the Museum\xe2\x80\x99s management team. The Associate Director contributes directly to the formulation of strategic policy, recommends strategic priorities and works in conjunction with all staff and student staff. The position also works in close cooperation with academic and non-academic administrators in other departments in the faculty and around the university.Work Performed

  • Provides leadership, management and administrative oversight of the following areas of the museum\xe2\x80\x99s operations: human resources; exhibition and publications; public and private sector funding; communications and marketing; facility management; safety and emergency response; and security.
  • Acts as Deputy Director when the Director is unavailable including decision making authority usually held by the Director.
  • Acts as deputy chair and co-ordinator of the Management Committee as well as chairing key MOA committees such as the Exhibition and Publication Review Committee.
  • Is the primary liaison with MOA\xe2\x80\x99s public funders. The Associate Director oversees all grants including identification of grants, strategic analysis of granting opportunities and preparation of grant submissions. They are also responsible for generating the museum\xe2\x80\x99s annual report and other public reports required by granting organizations.
  • Is the Museum\xe2\x80\x99s lead on external relations. As such this position is responsible for ensuring the maintenance and development of relationships with Indigenous communities and others, whose heritage and works are in the collections of the museum. The position work with the Director and Development on donor relations and philanthropic giving.
  • Initiates, evaluates and contributes to institutional policy discussions and decisions. Ensures that staff are apprised of MOA policy changes.
  • Ensures that MOA activities align with MOA\xe2\x80\x99s strategic plan and that staff annual plans align with these priorities.
  • Directs, creates and implements short- and long-term strategic human resources plans. Anticipates needs, develops and maintains department-wide human resource strategies relating to recruitment, classification, performance evaluation, professional development and retention of staff. Analyzes workloads and work flow, and initiates changes to organizational structure. Coordinates classifications, reclassifications, salary levels, appointments for permanent, temporary and contract project staff and student interns, implements/facilitates performance development for all non-faculty/staff.
  • Provides creative leadership and guidance by developing and implementing sound performance management practices, ensuring training needs are identified and opportunities are offered, and by developing and implementing practices to build a mutually respectful atmosphere within the museum. Works with relevant staff supervisors, the MOA director and Arts HR, as appropriate, to review performance, deal with workload issues, manage inter-staff conflict, assist with staff discipline issues and terminations when necessary
  • Develop institutional hiring strategies and to ensure classification level and budgetary commitments are appropriate; ensures new positions support MOA\xe2\x80\x99s goals; develops and oversees orientation program for all new staff.
  • Oversees all major projects and maintains a schedule of all such projects to ensure that staff resources are managed appropriately and timelines and budgets are met.
  • Oversees MOA Exhibition and Publication program and other special projects including major building projects. Manages and oversees all building projects to ensure that staff resources are managed appropriately and timelines and budgets are met.
  • Develops and maintains liaison with UBC Security and UBC Risk Management Services to ensure MOA\xe2\x80\x99s needs are met and the collections are secure.
  • Develops and manages the museum\xe2\x80\x99s Disaster Emergency Response plan to ensure that all staff are aware of procedures, ensures yearly training takes place, ensures relevant manuals are up to date; and that debriefing sessions and actionable items are compiled after each incident.
  • Provides oversight to MOA\xe2\x80\x99s Health and Safety Committee, and is responsible for ensuring MOA\xe2\x80\x99s Incident Response documents are updated regularly and annual staff training is conducted.
  • Provide strategic oversight to MOA\xe2\x80\x99s Volunteer Associates ensuring that volunteer recruitment and training is effective and meets the strategic needs of MOA. Acts as the chief liaison with the president and committee heads of the museum Volunteer Associates, including monthly council meetings, oversight of the recruitment and training of new volunteers, arranging parking, library cards, course participation, and the planning of annual appreciation events.
  • Liaises with other Faculty administrators and represents MOA on relevant university committees.
  • Represents MOA at professional conferences and meetings.
Consequence of Error/JudgementThe incumbent is expected to make decisions in consultation with the Director and the Management Committee as well as making decisions without consultation. Decisions have a direct impact on the creation, revision and implementation of Museum operational policy and procedure and can affect operations.The consequences of some errors rest with the incumbent who has to rectify their own errors. Other errors could negatively affect the Museum\xe2\x80\x99s reputation and standing with Indigenous Nations, funding agencies and external partners.Supervision ReceivedThe position reports to the Director of the Museum.Supervision Given

  • Masters\xe2\x80\x99 degree in administration, Anthropology, Fine Arts, or related field, or an equivalent in education and experience
  • Demonstrated experience in strategic planning. A high degree of independent decision-making in situations calling for independent judgment and ability to interpret museum\xe2\x80\x99s strategic plan and policies.
  • Demonstrated ability to work with Indigenous peoples.
  • Ability to plan and manage multiple projects within time and to budget.
  • Ability to write grants
  • Ability to build effective relationships with Indigenous communities, museum, associations and the university community.
  • Understands and conveys the museum\xe2\x80\x99s vision and strategic plan internally and externally.
  • Understands UBC and faculty strategic plans and how they align with and guide museum\xe2\x80\x99s daily operations.
  • Ability to foster a diverse and inclusive environment in the workplace.
  • Ability to Mentor and develop critical talent for the museum.
