Job Description

The Associate Academic Advisor provides basic academic advice to potential and registered undergraduate students in the Faculty of Science and refers students to Undergraduate Advisors or other senior team staff if they require further assistance, or more comprehensive advising services. The Associate Academic Advisor serves as primary contact and coordinator for the Science Student Centre, operates the virtual student hub and social media relating to the Science Student Centre. The position is part of the Science Strategic Enrollment Management team and works with advising staff across Science in supporting Science department advisors and students. The Associate Advisor supports recruitment, retention, and engagement activities within the Faculty of Science.

Qualifications:

Bachelor's degree in Science, or other relevant discipline and three years of related experience in post-secondary program advising and registration services, experience in a functional role working with enterprise level information systems, or an equivalent combination of education, training and experience.

  • Excellent knowledge of post-secondary regulations and academic requirements.
  • Good knowledge of data structures and data relationships of systems and the ability to use query tools to quickly obtain accurate and relevant information.
  • Excellent knowledge of enterprise level information systems (i.e. SIMS, Advisor Link, HAP, FAST, Tableau, Canvas.)
  • Excellent knowledge of business functions and practices (e.g. records management, academic rules, programming, policies and procedures and reporting, etc.).
  • Excellent customer service, interpersonal, organizational, facilitation, training, and teamwork skills.
  • Excellent problem-solving and communication (verbal, written and presentation) skills.
  • Excellent analytical and problem-solving skills, and attention to detail with a high degree of accuracy.
  • Skilled in the use of student information systems and software applications (i.e., database, spreadsheet, presentation, Adobe, and word processing).
  • Good writing and design skills and the ability to create newsletters.
  • Experience coordinating and developing communication plans that include social media and experience creating posts across main platforms.
  • Ability to exercise mature judgment, initiative, diplomacy and tact.
  • Ability to work collaboratively in a team environment.
  • Ability to maintain confidentiality.
  • Ability to arrange suitable transportation to various work and campus locations.
