L'Heritage canadien du Quebec est un organisme a but non lucratif, non gouvernemental, oeuvrant au Quebec. Sa mission est de preserver et de mettre en valeur des batiments et sites patrimoniaux d'interet historique ou naturel situes au Quebec. Afin de soutenir ses activites administratives et financieres, l'organisme est a la recherche d'un(e) assistant(e) administratif(ive) et comptable.

Sommaire du poste



Sous la supervision de la direction, l'assistant(e) administratif(ive) et comptable assure le soutien administratif et la tenue comptable courante de l'organisme. Il/Elle contribue a la conformite financiere, a la reddition de comptes, et au bon fonctionnement general de l'OBNL.

Responsabilites principales



1. Administration generale



Assurer l'accueil telephonique et la gestion des courriels Gerer la correspondance, le classement et l'archivage des documents (papier et digital) Soutenir l'organisation des reunions, comites et assemblees generales annuelles (AGA) Preparer les ordres du jour, comptes rendus et proces-verbaux Tenir a jour les dossiers des membres, benevoles et partenaires Gerer les calendriers et la logistique des activites et evenements Commander les fournitures et assurer le lien avec les fournisseurs Contribuer a la preparation du rapport d'activites annuel Appuyer la production de la declaration annuelle aupres du Registraire des entreprises

2. Comptabilite, finances et reddition de comptes / Accounting, Finance and Reporting



Saisir et verifier les factures, depenses et encaissements ; Preparer et emettre les factures, lorsque applicable Assurer le suivi des comptes payables et recevables Preparer les paiements fournisseurs et les remboursements de depenses Preparer les fiches de paie et les declarations a la source ; Tenir le registre des employes Effectuer les rapprochements bancaires mensuels Saisir les ecritures comptables courantes selon les normes canadiennes applicables aux OBNL Preparer les documents pour le comptable externe ou le CPA Participer a la preparation des rapports financiers et de l'audit annuel Tenir les registres des dons et contributions Collaborer a l'emission des recus officiels de dons, lorsque requis Soutenir la production des declarations de taxes (TPS et TVQ) et autres taxes

3. Soutien a la gouvernance



Soutenir la direction et le conseil d'administration dans la preparation de documents financiers et administratifs Contribuer a l'amelioration des administrative and financial processes Respecter les politiques internes, les reglements generaux et les regles de gouvernance Assurer la confidentialite des informations

Profil recherche



Formation



DEP ou DEC en administration, comptabilite ou domaine connexe Formation ou experience en milieu associatif ou OBNL

Maitrise de Microsoft Office Aisance avec les outils de suivi budgetaire Experience avec un logiciel comptable

About the Organization



The Canadian Heritage of Quebec (CHQ) is a Quebec-based non-profit, non-government organization dedicated to the conservation and the development of heritage buildings and sites of historical or natural interest in Quebec. To support its administrative and financial operations, the organization is seeking an Administrative and Accounting Assistant.

Position Summary



Reporting to management, the Administrative and Accounting Assistant support and handles day-to-day administrative and accounting activities. The role contributes to financial compliance, accountability, and the overall smooth operation of the non-profit organization.

Key Responsibilities



1. General Administration



Answer phone calls and manage email correspondence Manage correspondence, filing, and document archiving (paper and digital) Support the organization of meetings, committees, and Annual General Meetings (AGM) Prepare agendas, minutes, and meeting summaries Maintain member, volunteer, and partner records Manage calendars and logistics for activities and events Order office supplies and liaise with vendors Contribute to the preparation of the annual activity report Assist with the annual filing with the Quebec Enterprise Registrar

2. Accounting, Finance and Reporting



Enter and verify invoices and expenses and receivables Prepare and issue invoices, when applicable Monitor accounts payable and receivable Prepare vendor payments and expense reimbursements Prepare payroll/Record of Employment and monthly DAS Perform monthly bank reconciliations Record routine accounting entries in accordance with Canadian accounting standards for non-profits Prepare documentation for the external accountant or CPA Assist in preparing financial reports and the yearly audit Maintain records of donations and contributions Assist with the issuance of official donation receipts, when required Support the preparation of sales tax returns (GST and QST) and accommodation taxes

3. Governance Support



Support management and the Board of Directors with administrative and financial documentation Contribute to improving administrative and financial processes Comply with internal policies, by-laws, and governance practices Ensure the confidentiality of sensitive information

Required Qualifications



Education



Vocational diploma (DEP) or college diploma (DEC) in administration, accounting, or a related field Experience or training in the non-profit sector

Proficiency in Microsoft Office or Google Workspace Strong skills in budget tracking and financial reporting tools Experience with accounting software
