Assistant Vice President, Business Process Optimization

Halifax, NS, CA, Canada

Job Description

At Opus, integrity isn't just a principle. It's how we do business. As an independently owned company operating in seven countries, we've built our success by staying true to our values: questioning everything, embracing change, building not buying, winning together, and doing the right thing. Our employees see the difference - we're a certified Great Place to Work in Canada, the USA, Ireland, and the Philippines. If you share our beliefs and want to be part of a team that values innovation, accountability, and doing the job right, we'd love to connect.

The AVP will oversee a team of five offshore staff responsible for ensuring the accuracy, completeness, and automation of third-party data inputs used in daily PnL and NAV production. This includes coordinating Opus access setup for client, broker, custodian, and bank accounts.

The role requires deep financial instrument knowledge, strong analytical skills, and process automation expertise to enhance data integrity across departments. Success in this role will be measured by data accuracy, processing speed, automation adoption, and stakeholder satisfaction.

About the Role:

Third-Party Interfaces & Data Management

• Develop and maintain relationships with third-party data providers (OMS providers, brokers, custodians, and banks), ensuring all service-level agreements (SLAs) are met.
• Automate third-party data ingestion by integrating structured data feeds and reducing manual interventions.
• Reduce data retrieval errors through process standardization and system improvements.

Trade Imports

• Standardize trade file formats across 100% of new client setups and ensure compatibility with Opus' systems.
• Maintain and update a comprehensive list of client file (OMS) setups, including tested instruments and known deficiencies, with quarterly accuracy reviews.
• Monitor trade file deliveries and resolve transfer failures within the agreed turnaround time.

Opus System Setup - New Clients & Broker Accounts

• Complete all new client/fund broker setups in Opus systems within the defined SLA.
• Ensure 100% completeness of broker setups across all reconciliation types, resolving data gaps with brokers or internal teams prior to client or account go-live

Continuous Improvement & Innovation

• Identify process improvement opportunities and implement improvements or automation solutions.
• Provide quarterly training sessions to the team on emerging technologies, automation tools, and process best practices.
• Monitor and report on innovation adoption, ensuring manual processes are automated.

Project Management & Strategic Initiatives

• Lead cross-functional projects, improving data ingestion efficiency, controls, and transparency.
• Ensure project milestones are met on time, with clear tracking and reporting on KPIs.
• Collaborate with IT, Operations, and other teams to reduce operational bottlenecks.

A Little Bit About You:

• Bachelor's degree in Accounting, Finance, or a related business field.
• At least 5 years of experience in the fund administration industry.
• A minimum of 2 years of experience in process optimization.
• At least 2 years in a leadership role, with a demonstrated ability to effectively manage and develop teams.
• Strong communication and interpersonal skills, with the ability to build and maintain client relationships.
• Excellent organizational and time-management skills, with a keen attention to detail and commitment to accuracy.
• Proven ability to manage multiple projects, prioritize tasks effectively, and escalate issues when needed.
• Solid understanding of financial instruments.
• Proficiency in Microsoft Excel and Word.
• Strong problem-solving skills with a proactive approach to identifying and addressing challenges.

We want to give our colleagues the best start possible. That's why we provide regular in-office training during your first few months, giving you the tools and knowledge to thrive. Once you're up to speed and confident in your role, you'll have the flexibility to transition to our hybrid work model which is currently one day per week in office.
