SCOPE
Reporting to the Code Administrator in the Student Academic Services unit in the Dean\'s Office, Faculty of Arts and Science, the incumbent provides administrative, logistical, and data maintenance and analytical support to the Code Administrator in the Faculty.

PRIMARY RESPONSIBILITIES

  • Assist the Code Administrator in the Faculty of Arts and Science with the preparation, validation, organization and processing of Code dossiers and tribunal files.
  • Maintain a detailed database that keeps track of core information of all Code cases and provide analytical support as required and requested by the Code Administrator.
  • Communicate and arrange interviews, meetings and phone calls with students, advocates, representatives from the Tribunals Office and course instructors concerning Code matters which frequently require rescheduling and constant follow up.
  • Maintain the Code Administrator\'s calendar, which frequently requires coordinating with the Office of Tribunals and the Office of the Provost.
  • Inform students and faculty concerning proper procedures for Academic Code Cases.
  • Search and compile evidence documents and recruit witnesses for upcoming Student Tribunal Hearings.
  • Follow-up with professors/instructors on all issues from the point that an incident report is filed until a case is closed.
  • Responsible for the archiving and or destruction of all files pertaining to Academic Code of Conduct.
  • Maintenance of the Code Administrator`s calendar, which frequently requires coordinating with the Office of Tribunals and the Office of the Provost.
  • Undertake other tasks as required by the Code Administrator in support of ongoing and future research projects relating to academic misconduct and Code administration.
  • Responsible for the maintenance of the FAS Academic Integrity Webpage on the Concordia University website.
QUALIFICATIONS
  • Diploma of Collegial Studies (3 year technical DEC) in Office Technology or in a field pertinent to the primary responsibilities and four to seven years of relevant work experience.
  • Good knowledge (Level 4) of spoken and written English and French in order to write and edit correspondence, provide and interpret detailed information, and deal with complex situations in both official languages.
  • Advanced knowledge of Word (to format documents and do mail merges) and of Excel (to create and format spreadsheets including calculating formulas and managing pivot tables). Ability to work with Outlook and the Internet.
  • Superior organizational skills and the ability to multitask with the ability to work independently as well as in a team.
  • Strong client service orientation.
  • Ability to work under pressure and meet strict deadlines; attention to detail.
  • Strong communication skills.
  • Experience in handling sensitive information.
