Working for the Department/Faculty Embedded within the Office of the Registrar, the Student Recruitment Centre of Expertise leads the creation and execution of the Undergraduate Student Recruitment Strategy at the University of Alberta. Position As a key member of Student Recruitment Centre of Expertise, the Assistant provides administrative support critical to the successful implementation of the Undergraduate Student Recruitment Strategy, which aims to attract and recruit exceptional students from across Canada. Reporting to the Student Recruitment Director and Assistant Registrar, this position provides support for various committees and events related to the Student Recruitment Centre of Expertise, such as Student Recruitment Centre of Expertise monthly meetings, the Recruitment Network, information sessions, school visits, registration workshops, annual U of A Open House, and other engagement initiatives. The Student Recruitment Centre of Expertise is made up of 5 unique recruitment teams, each specializing in different areas, and the Assistant provides support to each of these areas. The Assistant will also support the evaluation and collection of data, as well as maintaining statistics on event RSVPs and attendance, lead generation, publications and swag inventories, and more. This position is critical in ensuring that team members traveling across Canada have what they need, which includes packaging, shipping, mailing, and tracking materials accordingly. Acts as first contact for the Student Recruitment Centre of Expertise on all items related to the area of administration, such as on-campus partners and colleagues
Provides administrative support for all teams within the Student Recruitment Centre of Expertise, committees and groups associated with the Centre such as the Recruitment Network, including listserv and contact list management.
Coordinates all standard mail outs within the Centre and provides assistance with student communications
Assists with and compiles Student Recruitment Centre of Expertise reporting and evaluation summaries on a monthly basis; tracks swag and publication inventory, takes minutes, compiles agendas, coordinates mailouts, and supports event preparation items, such as printing posters, etc. Leads data entry, organization, and monitoring appropriate data collection for evaluation. Uses Slate for Lead generation purposes and supports the creation of events, RSVPs, etc.
Responsible for primary administrative support for on-campus events
Conducts general research and compiles information at the request of the Student Recruitment Centre of Expertise leadership team
Books venues and rooms as required, compiles packages, and supports the procurement of supplies needed to support the Centre
Qualifications
The ideal candidate will have a post-secondary degree, at minimum a post-secondary diploma
At least one year of office administration experience for a large team
Experience in student administration system technology in a post-secondary environment; experience using Slate is preferred
High attention to detail and impeccable organization skills are a must
Ability to adapt quickly to emerging priorities, and continuous procedural changes, while maintaining consistency in a multi-tasking environment, is required
Ability to effectively manage their time balancing a number of tasks in a fast-paced environment is required
Ability to take comprehensive minutes is required
Superior communication (oral and written), organizational and interpersonal skills
Exceptional working knowledge and experience in Google Suite (Google Documents, Drive, Calendar, sheets, etc) and Microsoft Applications (Word, Excel, and Outlook) required
High level of customer service is required; experience in the student services or recruitment field is an asset
