PURPOSE
The Assistant Rooms Division Manager - Reservations supports the overall management and operation of the Reservations Department. This role assists in overseeing daily reservations activities, ensuring the accurate and efficient handling of guest bookings, group room blocks, and partner accounts. The position plays a key role in optimizing revenue opportunities, maintaining exceptional service standards, and ensuring alignment with brand and property goals. The Assistant Rooms Division Manager - Reservations also helps lead, train, and motivate the reservations team while fostering collaboration with the Front Office, Sales, and Finance departments to deliver a seamless guest experience.
PRIMARY DUTIES
Support the Director of Rooms in overseeing daily operations of the Reservations Department, ensuring all bookings (FIT, group, and wholesale) are handled efficiently and accurately.
Assist in building, managing, and monitoring group and FIT rate plans in property management and sales systems (e.g., OnQ, Delphi).
Recommend and help manage close-out dates, rate strategies, and room availability in coordination with Revenue Management to achieve property revenue goals.
Input and audit individual and group reservations, ensuring accuracy in billing, rooming lists, and special requests.
Generate, review, and analyze reservations and production reports to track pick-up, forecast demand, and identify opportunities for improvement.
Collaborate closely with the Revenue and Sales teams to support strategies that maximize occupancy, ADR, and RevPAR.
Maintain strong professional relationships with travel partners, tour operators, and key accounts.
Respond promptly and accurately to client requests for proposals, group space, and rate negotiations.
Oversee special requests, VIP bookings, and unique guest arrangements to ensure personalized service.
Participate in site inspections, familiarization trips, and client meetings as needed.
Support the preparation and accuracy of all contracts and billing communications with clients.
Assist in leading, training, and coaching reservations team members to achieve high performance and exceptional service standards.
Monitor team performance, provide constructive feedback, and support performance management processes as directed.
Ensure effective scheduling, workload distribution, and clear communication within the department.
Uphold the highest standards of guest service, data accuracy, and operational efficiency.
Contribute to a positive team culture, fostering morale, collaboration, and professional development.
