Summary

Reporting to the Clinical Services Lead, the Assistant Navigator/Directory Development Coordinator is responsible for the development of the Aboriginal Directory in collaboration with the Ontario Telemedicine Network. In addition to the development and updating of the OTN Directory, the Assistant Navigator will assist the Regional Telemedicine Navigator with the coordination of telemedicine consultants.


Responsibilities:

1. Supports the maintenance and development of the Aboriginal OTN/KO directory

Updates existing provider profiles on the Aboriginal OTN/KO directory. Regularly monitors profiles to ensure accuracy and currency Support KOeTS team in engaging health care organizations to encourage updating of existing profiles eg. Meno Ya Win Health Centre. Explores and identifies the available regional health care entities and services in KOeTS communities and develops their profile in the directory.

2. Schedules and facilitates telemedicine clinical consults for individuals and groups

Receives referral forms and ensures information is accurate and up to date, including verifying patients' health card numbers if required. Forwards referrals appropriately: to OTN if service provider is registered on the OTN system or directly to service provider if provider is outside the OTN system. Once the patient confirms their attendance, the DDC will use OTNinvite to send out appointment email links to the provider and patient. Ensures appropriate documentation has been completed before each session including requisitions for blood work, x-rays, etc as required. Reports technical problems to the OTN or KNet Service Desk as appropriate.

Maintains accurate clinical consultation records

Receives usage data to submit to Health Canada and files the data appropriately for office record. Enters usage data in excel spreadsheet that is submitted to Health Canada. Maintains a master online calendar of telemedicine clinical sessions and updates daily. Maintains KOeTS file system of clinical sessions. Completes incident reports on scheduled consults that do not occur and forwards to the CSC or the most appropriate person for follow-up.

Participates in scheduling team

Participates as part of a team responsible for scheduling all OTNinvite events and consults. Develops a strong understanding of team roles and provides support by covering scheduling duties during staff absences, as needed.

5. Demonstrates commitment to KO eHealth staff team

Participates in regular KO eHealth staff meetings and regional clinical meetings. Participates in annual performance evaluation as required. Participates in training and updating activities as required as per goals set during annual performance appraisal. Maintains good communication links with the communities to facilitate effective telemedicine activities. Undertakes special projects and research as required.

6. Knowledge, Skills and Abilities

Completion of a High School Diploma, along with relevant experience in healthcare or administration; post-secondary education in a related field such as Health Administration or Medical Office Administration is considered an asset. Knowledge and understanding of Aboriginal culture and values, and of the geographical and health care challenges of First Nations in the Sioux Lookout district. First Nations community-based experience is preferred; administrative experience in a health or social service field is an asset. Experience working with diverse partners; familiarity with health system in the district. Strong organizational skills with excellent attention to detail. Excellent interpersonal and communications skills, both oral and written. Ability to work independently or as part of a team. Ability to multi-task in a fast-paced work environment and complete work on schedule. Proficiency in computer programs such as M/S Word, Excel, and the use of email; ability to learn communications technology and systems software quickly. Dedication to service excellence.
