We are currently seeking a qualified candidate to assist in the capacity as Assistant Property Manager in connection with a growing commercial condominium and commercial rental portfolio that consists of mix of office, retail and industrial properties. The Assistant Property Manager is a key member of the Management Team providing full administrative, operational, leasing and financial support and reporting to the Property Manager. The ideal candidate should possess the following attributes: - Customer/client-centric mindset and strong interpersonal, written and verbal communication skills; - Excellent organizational and time management skills; - Superior attention to detail and ability to multitask; - Flexibility to adapt to changing work conditions including service interruptions; - Strong working knowledge of Microsoft Office (MS Word, Excel & Outlook), Yardi and other tools in place at the property to facilitate management services; - Reliable access to a fully insured vehicle; - Ability to work independently, as well as within a team in a leadership role; - Effective conflict resolution skills; - A minimum three-years of senior administrative experience; - Possesses a General License from CMRAO or is in the process of obtaining. Primary Responsibilities: - Ability to identify issues in advance and take a proactive approach to resolving anticipated issues based on existing knowledge and experience derived from time spent at the property and familiarity with the rhythm of day-to-day activities; - Facilitate the appropriate reporting to the Property Manager re: operational activity, leasing and financial/budget-related matters; - Be available outside of regular working hours to attend to site issues and emergencies when they occur as the APM is on an on-call basis; - Directly oversee the tasks and duties of junior staff and provide instructions and direction accordingly. Provide performance reports to the Property Manager; - Ensure that all day-to-day administrative elements are performed flawlessly without supervision; - Ability to effectively review contracts and lease agreements and provide recommendations to the Property Manager; - Oversee the scheduling of services and assist with following up with contractors to monitor contractor performance; - Assist with budget preparation as requested; - Assist with preparation of Management Reports and formal inspection reports using inspection tools/software. Oversee and maintain work flow list of deficiencies identified by inspection reports; - Perform other related ad hoc responsibilities as requested; - Facilitate accurate and timely responses to all incoming communications and requests from tenants, users, contractors, etc. This involves an element of problem solving and critical thinking skills especially when the requirement to escalate a matter to the Manager is required; - Establish and maintain a strong relationship with tenants, vendors and various contractors to assist in the day-to-day operations of the properties; - Draft and finalize notices and general property-related communications; - Oversee and maintain electronic and hard copy filing system; - Respond to contractor queries and correspondence; - Coordinate/oversee programs, services and events; - Maintain list of utility accounts lists and coordinate tenant/landlord account takeovers, chargebacks, etc. - Tracking tenant and supplier insurance and clearances including WSIB certificates; What DSPM Can Offer: - Competitive salary, extended health care, life/disability insurance benefits and summer hours; - An enthusiastic work culture and strongly promoted work- life balance; - State of the art workplace featuring a Courtyard style kitchen; - Complimentary on-site parking and staff engagement events; - Reimbursement for professional-related courses and development; - Opportunity to grow and enhance your career in the Property Management Industry.
