Mainland is hiring! We are looking for a Project Administrator to join our team.
Overview
The Assistant Project Manager will support the daily activities of the Civil Project Management and Estimating team by assisting with project coordination, documentation, scheduling, procurement, and communication throughout all stages of the project lifecycle.
Duties & Responsibilities
Assist Project Managers in overseeing projects from initiation to project closure (project reviews, audits, handover, final closeout, etc.)
Assist in preparing front-end tender documents as directed
Coordinate and prepare job start-up packages including locates, permits, materials, BC One Calls, and job binders
Manage project documentation throughout the project and distribute paperwork to subcontractors and internal stakeholders
Support trade documentation management (LOIs, contracts, statutory declarations, WCB clearance, insurance certificates)
Assist with compiling record drawings and maintaining files for completed projects
Contribute to the creation of the project plan and support execution by scheduling activities with the Superintendent or site staff
Support material control and assist with ordering products for jobs
Create purchase orders and process invoices using Microsoft Dynamics
Assist with the creation and submission of project billing
Promote effective collaboration and communication within the team and with external stakeholders
Perform other duties and responsibilities as required
Work will be predominately in the site office
Qualifications, Experience & Skill Set
At least 3-5 years' experience as a Project Administrator, Coordinator, or similar roles in the construction industry
Municipal project experience with MMCD and Procore experience.
Strong written and verbal communication skills (document preparation and proofreading)
Excellent planning, organizational skills, and attention to detail
Ability to engage in customer contact/coordination through phone and email communication
Ability to handle confidential and sensitive material with discretion
Ability to work well under pressure and meet deadlines
Strong multitasking skills with the ability to prioritize workload and manage multiple responsibilities at once
Ability to work independently as well as collaboratively within a team
Professional interaction with various position levels, from front line to executive, both internally and externally
Polite and professional manner at all times
Ability to travel to jobsites
Proficiency in MS Office (Word, Outlook, Excel, MS Project)
Strong skills in construction management software such as Procore and Heavy Bid/Job
