Job Overview



We are seeking a motivated, organized, and personable Assistant Patient Care Coordinator to support our Director of Patient Care in delivering an exceptional patient experience.

This is a secondary PCC role, designed to provide hands-on support across patient coordination, sales follow-up, clinical flow, and administrative tasks. While you will assist with consultations, quotes, and patient follow-up, this position is not a primary PCC role and will involve a mix of coordination, clinic support, and operational responsibilities.

This role is ideal for someone eager to learn, coachable, and interested in growing within a surgical practice while understanding that daily responsibilities may vary based on clinic needs.

Reporting Structure

Reports directly to the Director of Patient Care Works closely with surgeons, nurses, and administrative team Supports clinic operations as needed to ensure smooth patient flow
Key Responsibilities

Patient Coordination & Sales Support



Assist during consultations and follow-up days as required Prepare surgical quotes and support scheduling under direction of the Director of Patient Care Follow up with patients who did not book immediately to answer questions and support conversion Maintain a friendly, professional presence patients feel comfortable speaking with

Consult

Intake & Pre-Visit Prepa?ration



Review new surgical consultation intake forms prior to appointments

Enter patient intake data accurately into the EMR

Identify and flag relevant medical history or health concerns

Escalate any health issues or concerns to the Director of Patient Care prior to the consultation

Clinical & Administrative Support



Upload patient photos into charts accurately and in a timely manner Manage photo organization, post-operative photos, and before-and-after consent requests Request and track pre-operative labs, consults, forms, and clearances Assist with payment processing and documentation when required Maintain accurate and up-to-date records in the EMR system

Clinic Flow & Room Turnover



Clean and reset exam rooms between every patient Prepare rooms prior to consultations and follow-ups (robes, gowns, implant sizers, equipment) Ensure rooms are stocked, organized, and clinic-ready at all times Support end-of-day room close-down procedures

Post-Operative & Patient Experience



Triage follow-up appointments and assist with post-operative visits Take post-operative photos and coordinate review requests for surgeons Request patient reviews and support reputation management initiatives Be comfortable working around post-surgical patients, including exposure to blood, drains, seromas, swelling, bruising, and patients experiencing pain or discomfort Deliver consistently high-level customer service across all patient interactions Maintain professionalism, empathy, and composure in a clinical environment
What We're Looking For

Strong interest in sales, patient follow-up, and healthcare Comfortable supporting leadership and working under direction Highly organized with excellent attention to detail Ability to pivot and assist where needed on a given day Friendly, approachable personality patients enjoy interacting with Excellent spoken and written English (required); French is an asset Comfortable learning systems and workflows (EMR experience is an asset)
Experience & Growth

Previous experience in sales, customer service, or patient-facing roles preferred Medical or plastic surgery experience is an asset but not required Coaching and training will be provided for candidates who are motivated and eager to learn Opportunity to grow within the Patient Care team based on performance and clinic needs
