Job Summary

The University of Victoria School of Nursing is a leader in undergraduate and graduate nursing education and research in partnership with different educational, community and practice organizations. The School offers the Bachelor of Science in Nursing degree (BSN) to prepare nurses to work with individuals, families, and communities, guided by health promotion principles. The BSN program is delivered through a collaborative partnership with colleges in British Columbia (Camosun College, College of the Rockies, and Selkirk College) and the Northwest Territories (Aurora College). The School of Nursing also offers two graduate degrees: a PhD in Nursing and the Master of Nursing (MN) degree with four options: (Advanced Practice Leadership, Nurse Practitioner, Nurse Educator, and Double Degree in Nursing and Health Informatics).

The School is situated in the Faculty of Human and Social Development (HSD), a multi-professional faculty with a commitment to the student experience of dynamic learning in extraordinarily rich practice and community setting for vital impact on health and social development.

This position provides supports the School and its faculty to enhance a variety of research and scholarship endeavours to create a research and scholarly-intensive environment working closely with the Associate Director of Research and Scholarship towards the strategic goals of the School. Responsibilities include tracking and reporting on faculty research activities, maintain research blog and webpages, creation of Comminique (research publication) and other promotional materials, coordinates and provides logistical support for various School research events and activities (e.g. Awards of Excellence, Research Day, workshops, webinars, etc). The position will provides school committee support to the Research and Scholarship Committee and the Johanna Briggs Institute committee. With consultation and direction from a PEA lead and/or director of the School, this position provides regular maintenance of the school\'s website and relevant postings on the school\'s social media account while working. This position coordinates the application, appointment, and tracking of adjunct and also tracks alumni . This position also coordinates the process for adjunct appointments. Finally, this position maintains Nursing alumni lists.

Job Requirements

Skills:
  • Excellent organizational and advanced administrative skills.
  • Demonstrated experience in strong technical support skills and knowledge, including database management systems.
  • Flexibility, adaptability, and comfort with procedural and technical change.
  • Ability to apply excellent critical thinking skills and ability to exercise good judgment and solve problems quickly and effectively.
  • Ability to complete workflow with attention to detail and a high degree of accuracy.
  • Exercises initiative set priorities and adapt to changes to meet the department, faculty, and university deadlines.
  • Ability to work independently with minimal guidance and as part of a team.
  • Exhibited excellent and effective verbal and written communication skills depending on audience, in particular with students, faculty, and other departments.
  • Demonstrated ability to consistently display professionalism, courtesy and empathy, and maintain confidentiality, in particular during complex and sensitive interactions involving emotional or stressful circumstances.
  • Advanced proficiency with computer applications (i.e. Microsoft Office (Outlook/Excel), SharePoint/Connect, Adobe Acrobat Pro DC, social media tools, website content management systems and databases.)
Specialized Knowledge/Education:
  • Secondary school graduation or equivalent.
Experience:
Minimum 2 years experience working in an administrative role supporting a large, complex office.Related work experience should include:
  • Experience working within complex database systems
  • Experience providing support and coordination of committee work.
  • Experience working in a customer relations/service environment.
Preference will be given to applicants with experience with:
  • University systems or other complex information management systems and computer applications (e.g. Banner, FAST Student Reporting).
  • Experience working in an academic environment and/or healthcare environment
  • Social media platforms, website content management systems and presentation software
  • Related work experience in an event planning, communications, and marketing role
  • Adobe Creative Suite (Dreamweaver, InDesign and Photoshop) as well as Adobe Pro would be considered an asset.
An equivalent combination of training, education and/or experience may be considered.
