SCOPE
Reporting to the Manager, Application and Documentation Processing, the incumbent performs various clerical functions pertaining to the admission application process and its supporting documentation.

PRIMARY RESPONSIBILITIES

  • Respond to student inquiries and assist students with questions relating to their admission application and documents; triage more complex cases to the appropriate admission assistant.
  • Code and upload electronic documents into SIS. Classify documents by type as well as determine if they are considered official or unofficial as required.
  • Code and enter data pertaining to the application from all sources.
  • Provide central file room services, including filing, retrieval of files, and rotation of scanned batches.
  • Investigate and correct anomalies and errors in applicant files, match unlinked documents and rebuild files.
  • Batch documents and ensure that they are sorted appropriately in preparation for scanning. Scan and index documents in the SIS.
  • Provide general clerical support including distribution of mail.
  • Perform other duties in support of the operation of the unit.
QUALIFICATIONS
  • Diploma of Collegial Studies (2 year pre-university DEC) and one to two years of office experience.
  • Good knowledge (Level 4) of spoken and written English in order to be able to understand the content and context of a document, to give and follow instructions, and to fill in forms where brief written descriptions and comments are required. Basic knowledge (Level 3) of spoken and written French.
  • Basic knowledge of Word and Excel.
  • Demonstrated experience entering data into a database rapidly and accurately.
  • Keen attention to details.
  • Ability to cope in a high-volume environment and meet established deadlines.
  • Ability to multitask and work under pressure with frequent interruptions.
  • Good organizational and team skills.
  • Aptitude to work in a service-oriented environment as both a member of a team and independently.
  • Knowledge of University academic programs, rules and regulations. Working knowledge of the Student Information System (SIS) is an asset.
  • Ability to do repetitive tasks while paying attention to detail and maintaining quality output is an asset.
  • Approachability (is sensitive and patient with others) and composure (is a calming influence in a difficult situation) are desirable qualities.
