With a population on the St George Campus of approximately 80,000 people engaged in a variety of diverse activities, the Campus Events (CE) unit provides a focal point to assess and ensure a variety of high-profile events can be successfully executed while ensuring that the activities related to the purpose of the University - namely academic instruction and research - can proceed without disruption. Like all other departments in Spaces & Experiences (S&E), Campus Events also generates net income which is reinvested in the University.

The Assistant Director, Conference Services (ADCS) role is a newly created role, responsible for leading the strategic development and implementation of a comprehensive conference services model for the campus. The ADCS will be responsible for the successful planning and operational launch of the event spaces in the university\'s newest building: the Schwartz Reisman Innovation Campus (phase 1), and the development and delivery of a comprehensive conference services function to benefit the campus community and generate revenue. The ADCS will also be responsible for booking other purpose-built conference spaces on the campus which are under S&E control. Rapid growth and several additional new roles are planned for Campus Events, which will increase the degree of task specialization of each; while maintaining some overlap and knowledge sharing across areas of expertise to ensure that the team remains resilient.

The incumbent is part of the senior Campus Events management team working under the general direction of the Director, Campus Events, but with a high degree of independence, initiative, and responsibility.

This position will act as a business development representative to key stakeholders and represent the interests of the SRIC event spaces and conference services unit to develop and foster a brand around this important new strategic initiative and service offering.

The ADCS liaises with University of Toronto Entrepreneurship, The Office of the Vice-President Research International, Office of the President, Division of University Advancement, Academic Divisions, Spaces & Experiences partners, and other members of the internal and external community. The ADCS also works to develop and foster relationships with municipal and provincial agencies responsible for events, tourism, conferences, and acts as an advocate for the University community providing information and advice with respect to trends in conference and hospitality services, marketing and tourism activities and initiatives and their impact on the campus. Where appropriate, the incumbent will negotiate on behalf of the University to promote new business opportunities and partnership initiatives.

The ADCS provides strategic leadership in the development of policy, guidelines, and operational plans for the SRIC event facilities ensuring alignment with the mission of the SRIC community and the University, minimizing impact on the regular functioning of the building and campus, and ensuring use of facilities is appropriate to the purpose of the space.

The ADCS also supports the strategic implementation of audio-visual services and booking systems management at the new Schwartz Reisman Innovation Campus and other spaces across campus. As many activities are important culturally and economically, the incumbent must balance broader municipal and provincial goals with the direct needs and functioning of the University campus. The incumbent is also a key decision maker and works closely with the Director to set the strategic direction of Campus Events.

This position has direct responsibility for overseeing the day-to-day sales, marketing and operations activities and has unit financial accountability. In this regard, the individual is responsible for the development of financial plans, the development of focused marketing strategies and the creation of impactful sales documents and communication tools. The incumbent is also responsible to oversee the booking of conference and event space, audio visual services and catering orders.

Additionally, the position will develop a staffing framework and oversee all staff in the rapidly growing conference services portfolio including the supervision of unit employees. The position has full managerial authority related to human resource management, including organizational design, assignment of work, as well as the hiring, performance management and professional development of all staff in the conference services area.

MINIMUM QUALIFICATIONS

I. EDUCATION:

  • University Degree required or an equivalent combination of education and experience
  • Project Management certification an asset
II. EXPERIENCE:
  • Minimum 7 years of substantial and progressively responsible related experience in and knowledge of planning, production and management of large, small, high profile events for diverse and distinguished guests
  • Experience and ability to apply management principles, practises and techniques to ensure the effective administration of the unit and to ensure institutional goals are achieved
  • Departmental fiscal and budget management knowledge and experience including the ability to establish, implement, monitor and analyse financial data
III. SKILLS:
  • Demonstrated integrity, dependability, sound judgement, teambuilding, and resourcefulness to establish and maintain collaborative, positive, and effective working relationships with multiple and diverse constituency groups
  • Excellent communication skills to express ideas and agreements concisely and persuasively, both orally and in writing, to a variety of constituencies
  • Leadership skills to provide vision, motivation and guidance to all constituencies involved
  • Project management and project coordination skills
IV. OTHER:
  • High degree of tact, discretion, and judgment
  • Excellent interpersonal skills; ability develop and foster strong working relationships with outside agencies
  • Ability to address complex issues utilizing a clear, thoughtful manner and come to a resolution quickly without jeopardizing the event or relationships with people involved
  • Ability to listen carefully to understand, respond and problem-solve effectively to address concerns and interests of campus constituents, guest, vendors, and others as needed
  • Ability to work independently with a minimal supervision
