The Assistant Chief Administrative Officer (ACAO) plays a key role in supporting the daily administrative and financial operations of the Municipality. Reporting directly to the Chief Administrative Officer (CAO), the ACAO provides assistance with financial management, budgeting, payroll, taxation, and administrative functions to ensure the effective and efficient delivery of municipal services.

Key Duties and Responsibilities
Financial Administration
Assist the CAO with planning and coordinating day-to-day and annual financial operations.
Support preparation and monitoring of annual operating and capital budgets.
Maintain financial records and ensure compliance with internal controls.
Prepare supporting documentation for audits and assist with the year-end audit process.
Prepare quarterly GST rebate applications.
Assist with insurance renewals, risk management, and funding applications.
Accounts Payable and Payroll
Process, verify, and record invoices and payments according to municipal policies.
Prepare and issue cheques, ensuring proper authorization and documentation.
Complete payroll functions including salary calculations, benefit deductions, and remittances.
Prepare and distribute T4s, ROEs, WCB, and MEBP reports.
Property Taxes and Accounts Receivable
Maintain tax files and records, process supplementary billings and penalties.
Assist with the annual tax sale process and respond to tax inquiries.
Process and record payments, issue receipts, and maintain receivable spreadsheets.
Administrative Support
Provide administrative support to the CAO and Council, including preparing meeting documents and by-laws.
May act as Recording Secretary at Council meetings as required.
Research and draft by-laws, policies, and procedures as directed.
Provide reception support when needed, including customer service and front counter duties.
Other Duties
Assist with Volunteer Fire Department administration, including data entry and payroll.
Maintain Commissioner for Oaths designation.
Perform other related duties as assigned.
Qualifications and Experience
Education and Certification:
Certification in Municipal Administration (CMMA) or willingness to enroll is an asset.
Post-secondary education in business administration, accounting, or a related field preferred.
Experience:
Experience in municipal government, public administration, or a financial/administrative role preferred.
Knowledge of municipal legislation, accounting systems, and budget processes an asset.
Skills and Abilities:
Strong organizational, time management, and multitasking abilities.
Excellent written and verbal communication skills.
High level of accuracy and attention to detail.
Proficient in Microsoft Office and accounting software.
Ability to maintain confidentiality and demonstrate sound judgment.
Strong interpersonal skills and ability to work effectively in a team environment.
Working Conditions
Office-based role with frequent computer use and extended periods of sitting.
Fast-paced environment requiring flexibility and the ability to handle multiple priorities.
Occasional lifting of office materials or supplies.
