PURPOSE: Reporting to the Asset & Project Manager, and working closely with the Asset & Project Advisor, the purpose of the coordinator is to advise and assist with the administrative tasks and procurement initiatives for the project and asset team. This is a full-time, permanent position that works primarily in office with moderate local travel as required.
COMPENSATION AND BENEFITS: Cowichan Tribes offers an excellent benefit and pension plan available after successful completion of the probationary period. The position includes paid training, paid vacation and paid sick leave. Depending on experience, the position starts at $36.14-$38.34 per hour ($65,778.22 - $69,776.51 annually).
RESPONSIBILITIES:
Coordinate Housing Projects:
Identify suppliers of goods and services
Assist with reporting and recommendations to address any project related issues
Coordinate mid-level or high-stakes projects or activities, ensuring deadlines and basic deliverables are met
Prepare and organize materials, reports, and data
Coordinate and communicate with multiple stakeholders/contacts to coordinate activities or meetings
Support minor process improvements to enhance efficiency in team/department
Assist in completing ISC & CMHC funding forms and applications for private home applications
Negotiate terms with suppliers such as price, quality of goods, and expectations
Liaise with suppliers and project managers regarding updates and details of goods and services
Research technologies and material options
Other related duties as required
Provide Administrative Support to the Program:
Create purchase orders
Analyze invoices to ensure accuracy of services
Monitor inventory with Field Maintenance Supervisor to ensure the flow of goods remain positive
Work closely with the projects team on procurement requirements and project deliverable prioritization
Negotiate and assist members with repayment agreements
Liaise with members, stakeholders, and project team
Inform the triage process for prioritizing project requests
Support in funding and grant proposal applications for construction and renovations
Assist in researching and compiling relevant information
Provide support for loan guarantee applications for construction and renovations
Provide support and training delivery to staff (e.g., Ready to Rent, Home Readiness, Pest Control, and Maintenance Training)
Other related duties as required
EDUCATION AND EXPERIENCE: (please attach all required documents)
Grade 12 graduation required
Post secondary education in a related field required
Business Administration Certificate/diploma is considered an asset
Certificate in Project Management preferred
5 years' experience in a related role
Combination of education and equivalent experience may be considered
Experience working in a First Nations community is essential, and a willingness to learn about culture, customs, and traditions of Cowichan people
Satisfactory Criminal Record Check (CRC)
BC Class 5 Driver's License and reliable vehicle
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of Cowichan Tribes internal departments and programs
Knowledge of internal databases an asset
Knowledge of Microsoft Office Suite programs, including Microsoft Projects, One-Note or other Project Management tools
Well-developed written, oral, interpersonal, and organizational skills
Ability to prioritize tasks and manage deadlines effectively
Excellent communication and stakeholder management skills
Advanced use of office and industry-specific software
Time management skills with the ability to coordinate different projects simultaneously
